Role Overview
Reporting to the Procurement Manager, the Purchasing Administrator supports everyday purchasing activities across several projects. The position helps ensure that materials and services are sourced efficiently, arrive on time, and are properly tracked throughout the project lifecycle. The role also involves administrative tasks such as filing, reconciling field credit card receipts and statements, coding travel invoices, and arranging tools, materials, and site services at competitive prices.
Key Duties
- Carry out purchasing work in line with company procurement policies and procedures.
- Assist Procurement, Project Managers, and other internal teams with sourcing materials and services for active projects.
- Prepare and process purchase orders and change orders in Viewpoint while maintaining accuracy and compliance with company standards.
- Track project bills of materials, keeping order status updated from initial placement through PO closeout.
- Monitor open purchase orders, coordinate with vendors, and push for faster delivery when needed to support schedules.
- Prepare requests for quotations and proposals when required.
- Maintain the material database with correct pricing and coding to support estimating work.
- Assist with subcontractor prequalification efforts alongside Procurement and Safety teams.
- Reconcile field credit card transactions and raise purchase orders to support monthly accounting requirements.
- Review invoices and follow up as needed to support accurate project costing and timely vendor payment.
- Act on unresolved items from open PO reports and monthly accounts payable action lists.
- Keep procurement records well organized in project folders and internal systems.
- Communicate regularly with site teams, project stakeholders, and vendors about order progress and delivery schedules.
- Handle general administrative work and assist with special projects assigned by the Procurement Manager.

Candidate Profile
The ideal candidate brings purchasing experience, strong administrative capability, and the ability to support procurement workflows in a project-based environment. Experience in the electrical utility or construction industry is an advantage, as is familiarity with contract law and construction software.
