Role overview
The Purchasing Coordinator supports the day-to-day buying process by keeping procurement activities on schedule and ensuring materials and services are sourced on favorable commercial terms. The position also handles key administrative tasks related to purchasing, follows each purchase order through to completion, and works closely with internal teams, suppliers, and the Finance Department to keep procurement and supply operations running smoothly in line with company policies and procedures.
Key responsibilities
- Keep procurement records, both paper-based and digital, well organized and updated so information can be found quickly.
- Assist with preparing purchase orders and proforma invoices, and monitor their progress with both overseas and local vendors.
- Follow shipping timelines and delivery dates, and coordinate with logistics partners to support uninterrupted movement of goods.
- Maintain accurate and current contact records for suppliers, manufacturers, and logistics providers to support effective communication.
Required background and skills
The role calls for 1 to 3 years of experience in administrative, operations, or executive assistant work. Strong MS Office skills are needed, including Word, Excel, PowerPoint, and Outlook, along with comfort using data management tools. The ideal candidate should be highly organized, detail-oriented, able to manage multiple tasks in a busy environment, and communicate clearly in English, both in writing and speaking.
