Role Overview
The Regulatory Affairs Associate will help manage and maintain product licensing and labeling compliance for Natural Health Products in Canada and dietary supplements in the United States. The position focuses on preparing accurate label copy, keeping product documentation current, and supporting regulatory submissions, renewals, and day-to-day compliance activities across the product range.
Labeling and Compliance
- Draft, check, and refresh product label wording so it aligns with Canadian Natural Health Product rules and U.S. dietary supplement standards.
- Keep Product Licence Applications, Natural Product Numbers, and Supplement Facts/Drug Facts panels accurate and up to date.
- Verify that claims, ingredient declarations, and layout details follow both regulatory and internal expectations.
- Assist with label changes tied to formulation updates, regulatory changes, and marketing needs.
Regulatory Filings and License Support
- Help prepare, submit, and monitor regulatory applications and amendments such as product license changes, notifications, and related filings.
- Maintain organized regulatory records and databases for approved products.
- Track renewal dates, license statuses, and submission deadlines to support continuous compliance.
- Contribute to responses for regulatory questions, deficiency letters, and follow-up requests.
Administrative Support
- Handle administrative duties for the department, including document control, filing, and records management.
- Manage internal review cycles and version control for regulatory files and labeling materials.
- Organize product details, specifications, and supporting documents.
- Help maintain SOPs and regulatory templates.
Collaboration
- Work closely with teams such as Quality Assurance, Product Development, Marketing, and Operations to support regulatory needs.
- Explain labeling and compliance requirements clearly to colleagues outside the regulatory function.
Qualifications
The role calls for a bachelor’s degree in a related area such as life sciences, regulatory affairs, nutrition, or a similar discipline. Candidates should bring 1–3 years of regulatory affairs experience, ideally in natural health products, dietary supplements, or a comparable field. Familiarity with Canadian NHP regulations and U.S. dietary supplement requirements is also needed.
Preferred Background
Experience with NHP label development, Product Licence Applications, and U.S. label compliance reviews is preferred. Knowledge of bilingual English/French labeling in Canada and exposure to GMP requirements for natural health products and dietary supplements would be an advantage.
Skills and Tools
The ideal candidate is highly detail-oriented, accurate with data entry and document review, and able to stay organized while managing multiple priorities. Strong knowledge of labeling rules, ingredient naming conventions, and claim compliance is important. Proficiency with Microsoft Office and regulatory database systems is required, along with strong written and verbal communication skills. AI proficiency is considered a plus.
Schedule and Work Arrangement
This is a full-time, permanent position. The regular schedule is Monday to Friday. The role is based in North York and follows a hybrid model with four days per week on site.
