Role overview
This position focuses on delivering precise and timely administrative, data management, and operational support across portfolio management, business development, procurement, and SAP-related activities. The role safeguards the quality of business-critical information, keeps systems accurate, supports project monitoring and launch readiness, and helps different teams work together efficiently in line with STADA’s values of entrepreneurship, agility, integrity, and ONE STADA collaboration.
Portfolio and business development support
- Keep portfolio and business development records current across all relevant tools and platforms, including 1P!, Smartsheet, LDS, NLs, SharePoint, SAP, and other internal systems.
- Enter, track, and report project details, milestones, launch plans, and portfolio status in a timely and accurate way.
- Maintain launch trackers, project dashboards, and portfolio reporting templates.
- Assist with the administration and tracking of licensing opportunities, business development initiatives, contracts, and partner databases.
- Handle documentation, data collection, and administrative work connected to evaluations, due diligence, launches, and commercialization activities.
- Protect data consistency, integrity, and compliance across all portfolio and business development systems.
SAP and master data administration
- Assist with SAP material creation, extensions, and maintenance in coordination with relevant stakeholders.
- Serve as the SAP Purchase Order administrator for STADA KSA+ entities.
- Coordinate vendor setup and master data processes to support compliant and timely onboarding.
- Provide coordination and system support for Purchase-to-Pay workflows.
- Maintain reliable records while following internal control and governance standards.
Compliance and operational excellence
- Support procurement compliance, including tendering and RFQ procedures for suppliers not already on the approved vendor list.
- Work with Medical, Finance, and Procurement teams to ensure supplier compliance with contracts, payment terms, and payment processing requirements.
- Track data quality and process compliance across assigned systems and workflows.
- Identify ways to improve processes, automate tasks, and standardize work to increase efficiency.
Reporting and analytics
- Prepare recurring reports, dashboards, and performance trackers covering portfolio activity, launches, procurement, and business development projects.
- Follow project timelines and key milestones, and escalate delays or risks when necessary.
- Provide management with accurate data and insights to support decision-making.
Cross-functional coordination
- Partner with Commercial, Supply Chain, Finance, Regulatory, Medical, Quality, and Procurement teams to support smooth execution of business activities.
- Deliver administrative and operational assistance for strategic projects and cross-functional initiatives.
- Contribute to continuous improvement efforts that enhance collaboration and operational effectiveness across STADA KSA+.
Qualifications and experience
A bachelor’s degree in Business Administration, Information Systems, Supply Chain, Finance, Pharmacy, or a related discipline is required. The role calls for 1 to 3 years of experience in data administration, project coordination, portfolio support, procurement operations, or SAP administration. Prior exposure to ERP systems, especially SAP, is preferred. Strong capability in Microsoft Excel, PowerPoint, SharePoint, and data management tools is needed, and experience with Smartsheet is considered an advantage.
