Role overview
The Uniform Administrator is responsible for managing stock, uniforms, and related records with accuracy and care. The role combines inventory control, uniform distribution, appearance tracking, and coordination with internal teams and suppliers.
Key responsibilities
- Manage physical inventory and keep stock levels under control.
- Record stock movements in the designated software and supporting files.
- Maintain all documentation connected to inventory.
- Carry out regular stock counts and compare physical quantities with recorded figures.
- Escalate any mismatch between actual and recorded stock to the line manager.
- Provide stock-related updates and information when required.
- Follow the applicable stock management rules and procedures.
- Receive goods physically when they arrive at the warehouse.
- Report any differences found between delivered goods and records to the supervisor.
- Capture, process, and maintain stock status information.
- Use warehouse space efficiently and keep stock and work areas well organized.
- Handle dry-cleaning pick-up and delivery tasks.
- Ensure uniforms are issued in the correct size.
- Suggest uniform adjustments when a better fit is needed.
- Work closely with tailors.
- Control spare uniform inventory so sufficient items are available at all times.
- Keep visual records showing each employee’s uniform fit.
- Share clear, accurate guidance on uniforms and appearance procedures.
- Communicate in a courteous and professional manner with departments and suppliers.
- Review and manage QA reports related to uniforms.
- Monitor live streams and raise issues observed during monitoring.
- Update employees’ Personal Appearance Files as needed.
Requirements
- Strong written and spoken English.
- Comfortable using a computer and standard office systems.
- Excellent personal presentation.
- Good communication skills and self-control.
- Strong attention to detail.
- Prior experience in retail or warehousing is an advantage.
