About the role
Beauty Pie is challenging how the beauty market works by offering premium beauty and wellness products directly to members, cutting out heavy retail markups. The company’s model is technology-led and built around giving customers access to high-quality products from leading laboratories.
This position sits within the finance team and carries end-to-end ownership of key ledger activities. The role focuses on accounts payable, with responsibility for the purchase-order-to-pay workflow in NetSuite, supplier invoice handling, resolution of payment and invoice issues, and management of the weekly payment cycle. It also includes lighter accounts receivable duties, bank and treasury administration such as daily balance reporting, company credit card reconciliations, and support with employee expenses.
In addition to transactional work, the role requires close partnership with the wider finance team on month-end close and audit activities, preparation of cash flow commentary, and coordination with Customer Service on refunds and chargebacks. The business is looking for someone proactive who can spot opportunities to streamline processes, improve efficiency, and provide dependable support across the organisation.
Accounts payable and receivable
- Own the full accounts payable process from start to finish.
- Support the purchase order to payment workflow and help ensure purchase orders are approved promptly.
- Process supplier invoices and manage the invoice inbox.
- Investigate and resolve complex issues related to invoice processing.
- Handle supplier communication around invoice and payment queries.
- Run and oversee the weekly payment cycle.
- Carry out accounts receivable tasks, including issuing occasional invoices and following up on payments where needed.
- Match cash receipts from the e-commerce payment processor and confirm all amounts due have been received.
- Calculate and post fees charged by payment providers.
- Work with Customer Service to track refunds and chargebacks.
- Create new supplier records in NetSuite.
Banking, treasury, and finance support
- Reconcile company credit cards.
- Support employee expense claim processing and become confident using the relevant expense software.
- Assist with banking and treasury tasks, including daily bank balance reporting and interest receipt tracking.
- Help the finance team with AP and AR-related month-end and audit work.
- Prepare commentary on monthly cash flow movements.
- Provide general administrative assistance and take on ad hoc finance team tasks.
- Look for practical ways to improve workflows and create efficiencies.
Requirements
- Previous experience in an accounts payable role.
- Strong attention to detail, communication skills, and problem-solving ability.
- Comfortable speaking with colleagues across all levels of the business.
- Good working knowledge of Microsoft Excel.
- Helpful to have used NetSuite, though this is not essential.
- Experience in an e-commerce environment with stock-related invoices would be an advantage.
- Flexible, adaptable, and effective in a fast-moving scale-up setting.
- A proactive mindset and the drive to contribute during a period of growth and change.
- Candidates with more or less experience may still be considered if they can demonstrate the needed skills.
