Role Summary
This role is for a highly organized Administrative & Operations Coordinator who can manage several priorities at once, communicate professionally, and keep internal processes running efficiently in a fast-moving remote environment.
HR and Onboarding
- Handle the full onboarding journey for new team members and make their start smooth and welcoming.
- Monitor probation timelines and update employment status based on the relevant 2–3 month period, depending on the role.
- Arrange eligibility and handover of equipment after probation is completed.
- Keep employee files and records well organized and up to date.
Employee Tracking and Administration
- Maintain records for employee equipment, expenses, bonuses, and holiday schedules.
- Check monthly salary processing to ensure all employees are paid correctly and on schedule.
- Keep all employee-related changes accurately documented.
- Prepare and update documents whenever the manager requests them.
Project Support
- Support the Operations Team Lead with day-to-day project coordination.
- Provide administrative assistance for ongoing Gen Health projects.
- Share updates and follow up with internal teams through Slack and email.
Client Support Coordination
- Watch client Slack channels and respond to questions in a professional manner.
- Create and follow support tickets whenever issues need resolution.
- Keep clients informed about the progress and status of their tickets.
Qualifications
- Strong background in administrative support, including scheduling, organizing information, and handling multiple tasks at once.
- Polished phone manners and the ability to communicate clearly and respectfully with customers and internal teams.
- Experience supporting executives through calendar coordination and basic meeting assistance is preferred.
- Good clerical abilities, including accurate data entry, document formatting, and digital file management.
- Excellent English communication skills, both written and spoken, with the ability to explain technical topics simply.
- Comfortable using new software and interested in AI/GPT-based tools.
- Able to work independently in a remote setting, manage time well, and consistently meet deadlines.
- Previous experience in customer support, administration, or a startup/tech environment is an advantage.
- Must have excellent spoken and written English.
- Available to work 9:00 AM to 5:00 PM EST.
Additional Notes
This position is remote and requires strong self-management, initiative, and the ability to work across internal operations and client-facing support. Familiarity with Google Workspace or Microsoft 365 is important, and experience with Slack, Asana, Trello, Coda, or similar collaboration tools is preferred. Background in admin coordination, HR support, or operations will be helpful.
