Role overview
Occupli is partnering exclusively with a well-established provider of process equipment and engineering solutions serving industries across Ireland and the UK. Due to ongoing growth, a permanent Document Controller position has opened in Cork.
What you will do
- Manage document control activities for orders that require complete documentation packs.
- Record documentation certificates in Intact IQ and maintain accurate logging.
- Issue VDS documents to customers as required.
- Compare sales orders with customer purchase orders to ensure alignment.
- Load electronic documentation into customer portals and other document management systems.
- Raise invoices for documentation line items once final copies have been released, and follow up on outstanding document-related invoices.
- Prepare documentation-based KPI updates and customer reports as needed for each job or project.
- Maintain the documentation record management platform, including the computerized quality tracking tool Doc Boss.
- Oversee the document control process, ensuring coordination across steps and continued compliance.
- Carry out filing and general housekeeping in line with company procedures.
- Keep customer job files complete and accurate in both physical and digital formats.
- Follow relevant personnel, department, and company procedures as well as KPI requirements.
- Work to deadlines and contribute to team and departmental targets.
- Operate in accordance with ISO 9000 quality standards and health and safety procedures.
- Build effective working relationships across cross-functional teams.
What we are looking for
The ideal candidate will bring strong administration and IT capability, including practical experience with MS 365, Excel, Word, PowerPoint, and ERP systems. You should be comfortable identifying customer needs and recommending suitable solutions while maintaining a high level of customer satisfaction. This role suits someone who can work independently as well as collaboratively, with excellent accuracy, speed, and attention to detail. A dependable, committed approach is important in a busy, customer-focused setting. The successful person will be analytical, well organised, proactive, and able to use their own initiative. Strong communication skills and the ability to work well with people are essential.
