Role overview
A fast-moving business in Dublin 2 is hiring an experienced Executive Assistant to provide high-level support to a senior executive involved in multiple business interests.
What you will do
- Manage several busy email inboxes efficiently and keep communications organised.
- Coordinate complex calendars and arrange meetings across different time zones.
- Handle dictation and typing tasks, with recording equipment provided.
- Prepare, edit, and polish written correspondence.
- Create and maintain Word, Excel, and PowerPoint materials such as presentations, reports, and related documents.
- Arrange travel plans including flights, accommodation, and car hire.
- Support employee onboarding and exit processes, along with other HR administration.
- Maintain a large contact database and update digital vCards.
- Assist with organising internal and external client meetings.
- Carry out general office administration such as room bookings, filing, photocopying, and stationery ordering.
- Process AML documentation.
- Track expenses, receipts, and credit card reconciliations.
- Welcome clients and make sure meeting rooms are ready ahead of time.
- Screen incoming phone calls.
- Support additional projects and tasks as needed.
Requirements
- At least 3 years of relevant experience in a similar executive support role.
- Strong written English, with accurate grammar, spelling, and proofreading ability.
- Excellent attention to detail.
- Ability to manage confidential and sensitive information carefully.
- Confident use of Microsoft Word, Excel, PowerPoint, and Outlook.
- A proactive approach with strong planning and anticipation skills.
- Shows initiative and follows tasks through to completion.
- Good verbal communication and active listening skills.
- Comfortable working in a busy, entrepreneurial environment with multiple priorities.
- Highly organised with strong time management skills.
Compensation and benefits
- Annual salary between €60,000 and €65,000.
- Private health insurance.
- Discretionary performance bonus of up to 10% of salary.
- 25 days of annual leave, plus 1 company day for Good Friday and public holidays.
Work details
The role is based on-site at Fitzwilliam Hall, Leeson Street, Dublin 2. Working hours are 9:00am to 6:00pm, five days a week.
