Role overview
Our Future Health is hiring an Executive Assistant to provide high-level support to the Chief Scientific Officer and selected members of the Executive Leadership Team. The role suits someone who works well in a fast-moving setting, stays ahead of changing priorities, and builds trusted working relationships across the organisation. You will act as a dependable partner to senior leaders, helping them stay focused on strategic goals while keeping executive operations running smoothly.
Day to day, you will handle demanding diaries and inboxes, organise travel, prepare briefing materials and meeting packs, liaise with senior stakeholders, and keep action items moving through to completion. Working within a small and collaborative EA team, you will contribute to effective executive support and the wider smooth running of the organisation.
This position is ideal for someone who enjoys a varied workload, takes ownership confidently, and finds purpose in delivering exceptional support that helps drive meaningful impact.
Key duties
- Take a proactive approach to diary and inbox coordination for Executive Leadership Team members so that priorities are handled effectively.
- Draft outgoing correspondence and respond on behalf of executives when appropriate.
- Prepare meeting documents, briefing notes, speaking points, and follow-up materials.
- Monitor actions coming out of important meetings and help ensure next steps are completed on time.
- Arrange complex travel itineraries and manage related expenses.
- Serve as a central contact point for executives while building strong relationships with internal and external stakeholders.
- Support the organisation of leadership meetings, company events, and wider organisational activities.
- Work with the Governance team to assist with Board and committee matters where needed.
- Provide support to other senior leaders across the organisation when required.
- Partner with the EA team to deliver seamless executive support across the business.
- Help with everyday office operations, including coordination with building management and suppliers.
- Plan and deliver larger meetings and events, including venue coordination, logistics, catering, and guest communication.
- Manage sensitive organisational, governance, commercial, and people-related information with a high level of discretion and professionalism.
Candidate profile
You should bring experience supporting Directors or executive-level leaders, with C-suite exposure considered a strong advantage. Backgrounds in health research or fast-growing scale-up environments would be especially valuable.
Strong capability with Microsoft Office and digital collaboration tools is important, along with prior experience arranging large meetings, events, and executive engagements. You will need excellent stakeholder management skills and the judgement to handle confidential information carefully.
We are looking for someone with excellent organisation, planning, and time-management skills, who can work independently, know when to escalate issues, and remain calm when priorities change. A proactive mindset, a collaborative approach, and strong attention to detail are all essential.
