Role Summary
The Function Admin role is responsible for coordinating function-level activities and providing administrative support to improve office efficiency and organizational effectiveness. The position also supports internal communication routines, data collection, meeting coordination, travel arrangements, claims handling, and administrative support for the Function Head and Leadership Team.
Key Responsibilities
- Coordinate meetings from start to finish, including agenda preparation, minute-taking, action tracking, and all related logistics such as room setup, catering, and materials.
- Prepare, compile, and maintain HR reports and dashboards on daily, weekly, and monthly cycles, ensuring data accuracy and useful insights for leadership.
- Create polished presentations for HR leadership that summarize data, highlight key observations, and support reviews and strategic conversations.
- Assist with HR governance tasks such as town halls, monthly reporting, Visier updates, exit interviews, ELR case tracking, and action plan follow-up.
- Plan and deliver employee engagement activities, newsletters, and internal initiatives that support employee experience and culture.
- Partner with Talent Management, Communications, and Total Rewards teams to help deliver talent-related initiatives and internal communications.
- Support head office initiatives including photoshoots, internal campaigns, and company-wide events and communication activities.
- Monitor HR budgets, track expenses, manage petty cash, and process reconciliations, expense reports, and reimbursements in line with policy.
- Provide general administrative support such as correspondence handling, document filing, and record maintenance.
- Support the management team with administrative coordination, communications, shipment handling, and day-to-day operational needs.
- Maintain leave records and assist HRLT with claims, credit cards, and settlements.
- Create and process purchase requisitions in SAP and MyBuy, ensuring correct approvals and process compliance.
- Arrange travel, hotel, and transport bookings for PepsiCo sector and global team visits, coordinating with Facilities where needed.
- Maintain organized archives of contracts and legal documents, track renewals and deadlines, and support confidentiality and compliance in legal follow-up.
Qualifications and Experience
- A bachelor’s degree in Business Administration, HR, Management, or a related discipline is preferred.
- A diploma in administration or secretarial studies may also be considered if supported by strong experience.
- Typically 2 to 4+ years of experience in executive administration or senior administrative support roles is required.
- Experience supporting senior leaders such as Directors, Vice Presidents, or Leadership Teams is expected.
- Background in office administration, reporting, and coordination of senior meetings and events is important.
- Exposure to ERP systems such as SAP and procurement tools will be an advantage.
- Strong command of Microsoft Office applications, especially Excel, PowerPoint, Word, and Outlook, is needed.
- Candidate should be fluent in both English and Arabic.
- High professionalism, discretion, strong organization, and the ability to manage multiple priorities under pressure are essential.
Additional Information
This position is based in Riyadh, Saudi Arabia and is a full-time onsite role. The job involves handling sensitive information, supporting a fast-moving environment, and working independently while maintaining a strong follow-up and execution focus.
The role requires support for office administration, governance routines, procurement, travel, records management, finance-related administration, and cross-functional coordination across HR and related teams.
