Job Overview
The Sales Coordinator role is designed to provide end-to-end administrative, analytical, and operational assistance to the sales organization and the Regional Sales Manager. The position helps keep sales processes running efficiently, supports accurate reporting, and strengthens internal coordination so the team can work more productively.
A major part of the job is contributing to data-backed decisions by building, maintaining, and reviewing Power BI dashboards and sales performance reports. The role also calls for close interaction with customers, sales engineers, and internal teams in a busy, fast-moving environment.
Sales Coordination and Support
- Assist the sales team with routine coordination work, documentation, and follow-ups.
- Act as a liaison between sales, service, finance, logistics, and other departments.
- Draft quotations, proposals, and basic tender documents when required.
- Maintain sales records, customer files, and communication logs.
- Support the team with administrative tasks such as sales reports, presentation decks in MS PowerPoint, customer database management, sales documents, proposals, quotations, and business travel reports.
Sales Administration
- Enter data accurately and on time in the CRM/ERP system.
- Track approvals, signatures, and internal workflow progress.
- Support PR/PO creation for consumables, receive items, and update inventory lists with counts.
- Coordinate with internal functions such as HR, Procurement, Logistics, and other departments.
- Help organize business travel arrangements, including hotels, flights, and transport for team members.
Sales Reporting and Analysis
- Prepare monthly reports and ensure the data is complete, correct, and reviewed with the team before submission to management.
- Update the sales pipeline and forecasts, and build Power BI dashboards for the Regional Sales Manager.
- Monitor important metrics such as revenue, margins, hit rates, customer activity, and open opportunities.
- Spot gaps or unusual trends and share insights that support better decisions.
- Create, refresh, and manage business dashboards such as the Lost Report, Business Development Dashboard, and LPO/LOI Dashboard.
- Work with relevant departments to gather data and verify accuracy before dashboard updates.
- Keep reporting tools and trackers current, structured, and aligned with company standards.
Sales Operations
- Arrange internal meetings, sales reviews, and customer visits.
- Support the Regional Sales Manager with scheduling, presentations, and performance tracking.
- Contribute to annual planning, budgeting, and sales initiatives.
- Ensure compliance with company policies and sales procedures.

Qualifications and Experience
A bachelor’s degree or diploma in Business, Sales, Marketing, or a related discipline is needed. The role requires 5 to 7 years of experience in sales support, sales administration, or a similar function. Background in heavy equipment, compressors, HVAC, material handling, forklift, or construction sectors is mandatory.
Candidates should be proficient in MS Office applications, SAP, and Power BI, and must have strong English communication skills. A valid UAE driving license is essential.
