Department overview
The UCLA College of Letters and Science serves as the academic core of the university. It supports well over three-quarters of UCLA undergraduates and includes four academic divisions: Humanities, Life Sciences, Physical Sciences, and Social Sciences. In addition, the Division of Undergraduate Education acts as a campus-wide leader for innovation and excellence in the undergraduate experience.
Role summary
This is a full-time limited appointment intended to build broad exposure to university academic personnel work across several settings. The Academic Personnel Coordinator will begin with training from the central College Academic Personnel Office and then rotate through multiple academic departments within the assigned division in the College of Letters and Science (Life Sciences, Social Sciences, Physical Sciences, Humanities, or the Division of Undergraduate Education). Rotation assignments will be selected to support learning and career development and will be closely overseen by the Assistant Dean of Academic Personnel & Operations and the Manager of Academic Personnel for the College.
Working under close supervision, the appointee will handle assigned cases and projects, learn to interpret collective bargaining agreements and the Academic Personnel Manual, and complete relevant training courses offered through Campus Human Resources. The position also involves reviewing dossiers for completeness and policy compliance, maintaining the Academic Personnel Database, compiling information on faculty academic activities, honors, teaching, and research for dossier updates, keeping records of search committee decisions, participating in meetings, and collecting information needed to support academic personnel policies in line with departmental goals. This role is designed to help the selected candidate develop skills that can support future career growth at UCLA.

Key duties
- Manage assigned academic personnel cases and projects with close guidance.
- Learn and apply collective bargaining agreement provisions and the Academic Personnel Manual.

- Check dossiers for accuracy, completeness, and compliance with policy.
- Update and maintain the Academic Personnel Database.
- Gather and organize faculty academic activity details, including honors, teaching, and research, for dossier updates.
- Maintain documentation of search committee decisions.
- Attend meetings and collect information needed to implement academic personnel policies.
- Support departmental objectives through accurate and timely administrative work.
Qualifications
- Strong working knowledge of MS Word, Excel, and Outlook.
- Ability to organize priorities, meet deadlines, and manage several tasks at once while staying composed.
- Capability to write, edit, and proofread materials with correct grammar, syntax, and punctuation.
- Clear and effective communication skills.
- Ability to handle confidential and sensitive matters with discretion, tact, and diplomacy.
- Comfort working collaboratively with coworkers, faculty, campus and university administrators, and the public.
- Strong analytical ability to review detailed work and identify errors or inconsistencies.
Education and eligibility
A bachelor’s degree in a related field, or an equivalent combination of training and experience, is required. Candidates must be at least 18 years old. Continued employment depends on successfully passing a background check, and a Live Scan background check must be completed before the start date.
Schedule and employment details
The work schedule is 8:00 a.m. to 5:00 p.m. The role is covered under the CX-Clerical & Allied Services union/policy group. This is an onsite position in Los Angeles, California.
