Job description

Role overview

The Royal Women’s Hospital is offering an ongoing part-time Administration Officer position based in Parkville, Victoria. The role is 0.6 FTE and sits within the Reproductive Services team, supporting the hospital’s Public Fertility Services initiative.

About the team

The hospital’s Public Fertility Services program was established to expand access to fertility care for eligible Victorians. It builds on the organisation’s long-standing expertise in fertility services and is focused on delivering safe, person-centred and value-based care. The service is designed to better support communities that are often underserved by private fertility providers, including single people, Aboriginal Victorians, LGBTIQ+ communities, people with disability, culturally and linguistically diverse communities, people in regional and rural areas, and people on low incomes.

What the role involves

In this position, you will deliver high-quality customer service and efficient administrative support to the department. You will work across front reception, the nursing office and the satellite booking office on a rotating roster. As service demands change, you may also be asked to support other areas of the team to help keep Reproductive Services running smoothly.

Key duties

  • Support day-to-day clinic activity, including patient check-in and check-out.
  • Arrange and manage bookings for IVF procedures.
  • Provide clerical support to the nursing team and complete additional administrative tasks as required.
  • Communicate professionally and respectfully with patients, their support people, colleagues, medical staff and allied staff while maintaining a strong focus on service quality.

What you will bring

The ideal candidate will have experience working with EPIC, iPM and CLARA systems, along with strong written and verbal communication skills. You should be comfortable working both independently and as part of a team, and have solid computer literacy.

Pay and benefits

This role offers a salary of $58,442 to $64,610 pro-rata for part-time work, plus salary packaging, superannuation and 5 weeks of annual leave. Additional benefits include up to $11,660 in salary packaging for living costs, meals and holiday accommodation, wellness initiatives, discounted financial, lifestyle and health options, and a broader wellbeing program. The hospital also provides convenient public transport access, end-of-trip facilities for cyclists, an onsite post office, eateries, retail stores and library services, breastfeeding and pumping rooms, nearby daycare options, mentoring and career development opportunities, 17.5% leave loading and purchased leave.

Inclusion and workplace culture

The Women’s promotes a diverse and inclusive workplace and encourages applications from Aboriginal and Torres Strait Islander people, LGBTQIA+ applicants, linguistically and culturally diverse candidates, gender-diverse people, people with disability, and applicants of any age. The organisation values gender equity and expects staff to take a sensitive and informed approach to violence against women and family violence issues. It is also proudly accredited as breastfeeding friendly.

Other conditions

All offers are subject to a satisfactory Nationally Coordinated Criminal History Check and a valid Working with Children Check. Clinical staff must be vaccinated against, or be able to show immunity to, COVID-19, influenza and other required diseases. Applicants who may need support, adjustments or an accessible copy of the position description are encouraged to contact the hospital for assistance. The organisation also notes that relevant experience may be considered even where an applicant does not meet every selection criterion.
