Job description
Overview
This role provides end-to-end administrative and secretarial assistance to the site. The successful candidate will handle report submission, stay highly organized, manage several priorities at once, and communicate clearly in both writing and speech. Strong analytical thinking and problem-solving ability are also important.
Key Responsibilities
- Follow the organization’s code of conduct in daily work.
- Coordinate meetings and appointments efficiently using Microsoft Outlook.
- Communicate confidently and professionally in English, both verbally and in writing, with colleagues, clients, and leadership at all levels.
- Perform effectively in a demanding, fast-moving environment and adapt quickly to frequent changes.
- Stay organized, manage time well, and juggle multiple tasks while maintaining accuracy and attention to detail.
- Gather and review information, then prepare reports and agendas.
- Maintain filing systems, update records, compile reports, and process documents promptly.
- Prepare polished correspondence, including letters and memoranda, with correct grammar and complete information.
- Create and refine PowerPoint presentations and related materials.
- Answer and route incoming calls, arrange conference calls, handle walk-in inquiries, and manage electronic files.
- Work collaboratively with a varied team while also being able to work independently when needed.
- Contribute ideas to improve processes and workflow.
- Support special projects as assigned.
- Carry out other related duties as required.
Qualifications
A high school diploma is required. An associate degree or business school certification is preferred. One year of relevant experience may replace one year of required education if a degree is needed. The role calls for 4 or more years of executive-level relevant experience, with 4 to 5 years of related experience mentioned overall.

Working Conditions
The position is based in a general office setting, but work may also extend outdoors where there can be severe weather conditions, including frequent dust storms and summer temperatures reaching up to 130 degrees. There may also be possible exposure to chemical or biological agents. In certain areas, the use of personal protective equipment is required, including protection for the head, feet, hands, torso, breathing, eyes, and hearing. The standard workweek is 48 hours, and overtime may be necessary.
