Job description
Role Overview
This is a contract Administrative Assistant position based in Boston, Massachusetts, with an address of 290 Congress St, Boston, MA 02210. The assignment runs for 7 months and may transition into a full-time role. The position is primarily on-site, with four days each week spent in the office.
The role supports senior leaders by keeping priorities organized, communications moving, and day-to-day logistics running efficiently. It also serves as a coordination hub across teams and time zones, helping the business stay responsive, professional, and well organized.
Key Responsibilities
- Act as the main administrative support contact for executive leadership, delivering proactive, attentive assistance.
- Handle demanding calendars and meeting arrangements, reserve conference rooms, and prepare agendas, materials, and presentations that help drive effective decisions.
- Arrange domestic and international travel, manage expenses and invoice processing, and follow up on requests to make sure everything is completed accurately and on schedule.
- Work closely with partners across global locations while maintaining professionalism, good judgment, discretion, and a strong service orientation.
Required Qualifications
- At least 5 years of administrative experience supporting senior or executive-level leaders.
- Strong working knowledge of Microsoft 365, including Word, Excel, PowerPoint, Outlook, and Teams.
- Ability to juggle multiple priorities, adapt quickly, and independently coordinate work for more than one stakeholder.
- Strong judgment and confidentiality when dealing with sensitive information, along with the ability to anticipate needs and identify risks early.
- Background in coordinating complex travel, including multi-leg itineraries, different time zones, and last-minute changes.
- Comfort working in a fast-moving setting and staying calm, practical, and solution-focused under pressure.
- Excellent interpersonal skills and a professional approach when working with diverse teams, roles, and locations.
- Strong written and verbal communication skills.
- High attention to detail, with an emphasis on accuracy, follow-through, and improving processes over time.
Preferred Qualifications
- A bachelor’s degree or associate degree is preferred, or equivalent professional experience.
- Experience with administrative systems such as Ariba Buyer, Axiom, and Concur is an advantage.
