An investment bank in Midtown, New York City is seeking an Administrative Assistant to provide day-to-day support to its investment team. The role centers on calendar coordination, meeting logistics, travel arrangements, and expense processing for multiple executives.
Key responsibilities
- Coordinate calendars for several investment executives and keep schedules aligned.
- Set up internal and client-facing meetings, prepare meeting materials, and capture notes when needed.
- Arrange domestic and international travel and maintain detailed itineraries.
- Manage incoming phone calls and direct communication appropriately.
- Process, review, and reconcile travel and entertainment expenses along with other business spend.
Candidate profile
The ideal professional has prior experience supporting finance teams, communicates clearly, stays highly organized, and can adapt to a changing workload and schedule.
Requirements
- Minimum 2 years of experience supporting finance executives or a similar leadership group.
- Proven ability to coordinate and refresh multiple calendars at once.
- Comfort using Workday, Microsoft Outlook, and Excel.
- Strong organizational and communication skills.
- Ability to work through a schedule that may change frequently.
