Role overview
AVATR Global Design Center is hiring an Administrative Assistant in Dubai to support day-to-day office operations, coordination, reception, documentation, and event logistics. The role is focused on keeping the workplace organized, ensuring administrative processes run smoothly, and providing dependable support to business teams.
Office environment and asset management
You will be responsible for maintaining a tidy, safe, and well-managed office environment. This includes managing office inventory, recording asset registers, and overseeing routine upkeep of supplies and fixed assets so that office equipment and resources remain available and functional.
Meetings and event coordination
The position involves full-cycle support for regional meetings, training programs, and both online and in-person activities. Duties include arranging venues, checking equipment, preparing materials, recording meeting notes, and carrying out follow-up tasks to help events run efficiently.
Business reception
You will handle reception support for clients, headquarters teams, and cross-regional visitors from both local and international locations. This includes coordinating travel plans, welcoming guests on site, managing protocol arrangements, and providing logistics support that reflects a polished corporate image.
Compliance and documentation
The role also covers support for local business license renewals and related filings. In addition, you will organize, file, store, and maintain administrative records, contracts, and documents to protect data accuracy and meet compliance requirements.
General administrative support
In addition to the above, you will respond promptly to everyday administrative needs across business teams, deal with urgent office issues when they arise, and help maintain stable office operations that support ongoing business growth.
Requirements
The ideal candidate should hold a full-time bachelor’s degree or higher, with a preference for Administrative Management, Business Management, or a closely related discipline. At least 2 years of experience in administration or logistics is required, and exposure to multinational environments or overseas work will be considered an advantage. Background in automotive or new energy companies is strongly preferred.
You should be capable of independently coordinating meetings and handling business reception, including medium to large events. Practical understanding of office operations and asset control processes is needed, along with the ability to perform basic equipment troubleshooting and respond to urgent office situations.
English must be strong enough to function as a working language for speaking, listening, reading, and writing, including communication, translation of documents, and reception duties. Arabic ability is highly desirable.
Strong ownership, close attention to detail, and the ability to manage multiple priorities without mistakes are essential. You should also be comfortable working across cultures, understand Middle Eastern business customs and etiquette, and bring a proactive, service-oriented approach to administrative support.
