Role overview
The Administrative Assistant supports the department with day-to-day coordination and office administration, helping ensure smooth and efficient operations. The role involves handling correspondence, organizing meetings, tracking routine tasks, and coordinating activities across different teams.
Key duties
- Plan and coordinate appointments, meetings, and the department calendar.
- Prepare, format, and print letters, reports, and formal communications.
- Answer incoming calls, handle enquiries, or route them to the right person or team.
- Maintain orderly paper and digital filing systems and records.
- Monitor email communication and respond to or forward messages as needed.
- Work with other departments to complete shared tasks and follow-ups.
- Track the progress of administrative decisions and make sure assigned tasks are completed.
- Provide daily administrative support to the team.
- Set up meeting rooms and prepare meeting minutes.
- Carry out any other duties assigned by the direct manager.
Qualifications and requirements
- A diploma or bachelor’s degree in administration or a related field is required.
- Previous experience in administrative work is preferred, ideally between 1 and 3 years.
- Strong computer proficiency, including Microsoft Office applications.
- Excellent verbal and written communication skills.
- Good organizational ability and effective time management.
- Professional and courteous manner when dealing with others.
