Role overview
The Administrative Coordinator for Rare Disease Global Marketing will support a global leadership team with high-level administrative and operational work. This role calls for strong organization, sound judgment, professionalism, and discretion. The coordinator will manage demanding calendars, arrange domestic and international travel, and help run meetings, conferences, and special projects. The position also includes coordination with multiple teams, handling operational processes, maintaining key records, and ensuring follow-through on action items and commitments.
Key responsibilities
- Manage complex executive schedules with attention to priorities, timing, and coordination across multiple time zones.
- Spot possible conflicts in advance and work with stakeholders to find workable solutions.
- Arrange domestic and international travel, including itineraries, logistics, and expense documentation.
- Help organize congresses, conferences, and important meetings by handling registration, travel, lodging, and related logistics.
- Prepare meeting logistics such as room booking, catering, audio-visual needs, and facility setup.
- Handle administrative operations including purchase orders, invoice processing, vendor coordination, and courier support.
- Keep organizational charts, contact lists, and team distribution lists current.
- Record action items, monitor follow-ups, and help ensure deliverables are completed on time.
- Support special initiatives such as leadership meetings, off-sites, team-building events, and onboarding activities.
- Provide backup assistance to teammates and contribute to a cooperative working environment.
- Look for ways to streamline administrative work and support process improvement efforts.
Qualifications
- Associate’s degree plus 2 years of administrative experience, or
- 2 years of experience in a technical school environment with practical administrative responsibilities, or
- High school diploma / GED plus 4 years of administrative experience.
- At least 5 years supporting senior leaders in a fast-moving, matrixed organization is preferred.
- Excellent verbal and written communication abilities.
- Strong command of Microsoft Office tools, including Outlook, PowerPoint, Excel, and Word.
- Hands-on experience with SAP, MyBuy, Concur, Microsoft Teams, WebEx, SharePoint, and AI-enabled tools.
- Background in biopharmaceutical, healthcare, or life sciences settings is preferred.
- Ability to handle confidential information with professionalism and discretion.
- Strong interpersonal skills and the ability to work well with others.
- Capability to manage priorities and meet competing deadlines.
