Role overview

This position sits within the research administration and operations function at the National University Heart Centre, Singapore (NUHCS). Reporting to the Deputy Executive Director, the team supports NUHCS principal investigators by handling grant administration for research funding secured from government and industry sources.

The successful candidate will take ownership of assigned research grant portfolios and ensure that claims, financial monitoring, and audit support are completed accurately, on time, and in line with funding requirements. The role also involves working closely with principal investigators and internal teams to provide guidance and coordination on grant-related matters.

Key responsibilities

  • Handle assigned healthcare research grant portfolios independently, including preparing, checking, and submitting claims in line with the requirements of agencies such as NMRC and MOH. This includes planning submission timelines and ensuring claims are complete and accurate before PI endorsement.
  • Give first-level advice to principal investigators and research teams on whether grant costs are eligible, allowable, and properly used within approved budgets. Act as the main contact person for grant administration matters for the projects assigned.
  • Monitor grant spending by reviewing expenditures against approved budgets and finance system records, spotting possible overspending, budget differences, or compliance issues early, and suggesting corrective actions where needed.
  • Work with principal investigators, research coordinators, Finance, HR, and Procurement to resolve grant-related issues, and escalate more complex matters or policy questions to the research manager when appropriate.
  • Keep grant registers, claim trackers, and compliance checklists current; support audits, grantor reviews, and internal monitoring; and prepare financial information for progress and final reports.
  • Look for gaps in existing processes and recommend improvements to grant administration workflows, templates, and tracking tools, while helping to standardise practices and guiding junior administrators when needed.
  • Carry out any other tasks required to support departmental or organisational needs.

Requirements

  • A bachelor’s degree in healthcare administration, life sciences, business administration, finance, accounting, or a closely related discipline.
  • Prior exposure to government-funded research grants in a healthcare setting will be an advantage.
  • A solid grasp of research grant financial governance and compliance.
  • Strong accuracy, attention to detail, and analytical thinking.
  • Good communication and stakeholder management abilities.
  • Comfort using Microsoft Excel and grant or finance systems.
  • Ability to work independently in a regulated research environment.
