Role overview

Luminovo is developing the software backbone for the electronics supply chain, helping OEMs and EMS companies quote and purchase faster by connecting data, workflows, and stakeholders in one place. The business is around 100 people strong and is scaling quickly while executing an ambitious revenue plan across Europe and North America.

This position sits at the center of leadership operations. You will act as the day-to-day operational link between the CEO and the VP Finance & Operations, helping their collaboration stay organized and effective while keeping the broader leadership team aligned. Your work will include preparing staff meetings and offsites, owning the company-wide OKR process, and contributing to the AI-enabled operating system that supports a fast-growing company.

The role is opening because the current Chief of Staff is taking parental leave. It is meant as a continuity hire, but it also comes with a longer-term growth path and overlap with the returning Chief of Staff later on.

What you will do

  • Design and run the CEO’s operating system for non-revenue matters, including a triage and briefing setup that uses AI tools and templates to reduce the amount of time spent on operational topics within the first three months.
  • Manage the board and investor cadence by preparing board materials, investor updates, and the State of Luminovo on schedule and at a high standard during the leave period, working closely with the VP Finance & Operations.
  • Lead the end-to-end quarterly OKR process, from kickoff through tracking, mid-quarter reviews, and retrospectives, while surfacing risks early.
  • Support finance and reporting tasks by preparing and reviewing budget updates, business plan inputs, and management reports, and by serving as a dependable analytical partner to leadership.
  • Coordinate staff meetings and offsites, taking ownership of planning, logistics, preparation, and follow-up so leadership time is used effectively.
  • Identify repetitive operational work and automate it through tools such as Notion, Slack, and AI solutions, starting with the CEO’s workflow and later extending improvements to other teams.
  • Turn informal processes into reusable systems and documentation, with a goal of converting at least three ad-hoc workflows into playbooks, templates, or automated processes by month nine.
  • Create and maintain a central knowledge base for founder operations so templates and processes are easy to find and the company can scale more resiliently.
  • Model the company’s operating principles, especially putting people first and engaging in productive conflict in a constructive way.
  • Actively seek out and share direct, specific feedback, using 1:1s and reviews as opportunities for growth.

Who you will work with

  • Benedikt, who will be your direct manager during the parental leave period and your main partner for finance, KPIs, and OKRs.
  • Seba, who will be your primary internal stakeholder for founder support and inbox management on non-revenue topics.
  • Catha, who will provide a 2–3 week handover at the beginning and is expected to return around July 2027, with the reporting line after that still to be defined.
  • The wider leadership group across Product & Engineering and Revenue & Operations.
