About Provincial Insurance Brokers

Provincial Insurance Brokers has been a trusted partner for businesses seeking insurance solutions since 1993. We empower our clients to operate with confidence by managing their insurance needs. With offices strategically located in Masterton and Palmerston North, we pride ourselves on delivering personalized, in-person service to clients throughout the Lower North Island. As a proud member of The Steadfast Group, Australasia's largest insurance broker network, we combine local expertise with the extensive resources, competitive pricing, and robust support of a major organization. Our commitment to our clients extends to a dedicated in-house claims service, ensuring a responsive and supportive experience without relying on offshore call centers. We manage the entire claims process, from initial lodgment to final settlement, making it as seamless and supportive as possible for our clients.

About the Role

We are seeking a dedicated Broker Support team member to join our Masterton office. This full-time, on-site position involves providing essential administrative and client service assistance to our insurance brokers. Your contributions will be crucial in ensuring the smooth daily operations of the brokerage.

Key Responsibilities

  • Assist insurance brokers with daily administrative duties and client service tasks.
  • Prepare necessary documentation for clients and brokers.
  • Process policy changes and updates accurately.
  • Manage and maintain client correspondence.
  • Ensure client records are kept up-to-date and accurate.
  • Gather information required for generating insurance quotes.
  • Liaise with insurance providers to secure terms, endorsements, and policy specifics.
  • Coordinate the renewal process for client policies.
  • Follow up on outstanding information from clients and insurers.
  • Ensure timely issuance of policy schedules, certificates, and invoices.
  • Respond to client inquiries in a professional and timely manner.
  • Support the claims team by assisting with documentation.
  • Contribute to a professional and client-centric office atmosphere.

Qualifications and Skills

  • Demonstrated strong administrative and organizational capabilities, including precise data entry, document preparation, and effective record management.
  • Excellent customer service and interpersonal communication skills, with the ability to foster positive relationships and respond professionally to inquiries from clients and insurers.
  • Proficiency in standard office software, such as email, spreadsheets, and word processing applications, with a capacity to rapidly acquire proficiency in specialized insurance systems.
  • Keen attention to detail and a high degree of numerical accuracy when dealing with policy details, premiums, and billing.
  • A collaborative approach to teamwork, with the ability to manage multiple tasks concurrently and prioritize effectively to meet deadlines.
  • Prior experience within the insurance, financial services, or a similar administrative field is beneficial but not essential.
  • A proactive attitude towards learning about general insurance products and a commitment to undertaking relevant industry training or certifications.
  • A professional demeanor, reliability, and a strong client-first mindset, coupled with a dedication to maintaining confidentiality and adhering to ethical standards.
