Role overview
The Client Relation Officer will oversee vendor registration, pre-qualification (PQQ), and client-facing administration to keep the company approved and active with private, government, and semi-government organizations. This position focuses on meeting client compliance standards, submitting complete documents on time, following up on applications, and keeping records accurate to support business growth.
Key responsibilities
- Handle the full cycle of vendor registration and PQQ submissions for private, government, PIF, and semi-government clients.
- Draft, check, submit, and refresh prequalification documents, forms, and compliance records based on client specifications.
- Work with Finance, HR, Legal, Operations, HSE, Quality, and IT teams to gather and verify the required paperwork.
- Serve as the main contact point for clients on registration, PQQ, and vendor qualification matters.
- Track applications actively, resolve queries, and follow up until approvals are received.
- Make sure all work aligns with client rules, sector standards, and relevant regulatory requirements.
- Keep registration data and files up to date in company systems, including CRM or other registration databases, while meeting KPI expectations.
- Build and refine templates and workflows to shorten turnaround times and improve overall efficiency.
- Monitor validity dates, renewals, and expirations, and coordinate re-submissions or updates in time.
- Compile status reports covering registrations, PQQ progress, approvals, and pending items for management.
- Assist business development efforts by ensuring the company is ready for target opportunities.
- Run internal knowledge-sharing or training sessions on PQQ and registration processes.
- Stay informed about changes in client requirements, policies, and market practices.
- Carry out any other tasks assigned by the direct supervisor.
Requirements
- Bachelor’s degree in Business Administration, Supply Chain Management, Management, or a related discipline.
- 3 to 5 years of experience in vendor registration, PQQ handling, procurement support, or client affairs, depending on the industry.
- Hands-on exposure to government, semi-government, and large private-sector accounts.
- Strong understanding of vendor registration, PQQ workflows, and compliance documentation.
- Excellent coordination and stakeholder management abilities.
- Strong accuracy and document control skills with close attention to detail.
- Capability to manage several registrations at once while working to tight deadlines.
- Effective written and spoken communication skills.
- Comfort using CRM platforms, MS Office, and document management tools.
- Problem-solving approach with a focus on continuous improvement.
- Ability to work both independently and cross-functionally.
Additional information
This role is based in Dammam, Eastern, Saudi Arabia, and is a full-time on-site position. It supports private, government, PIF, and semi-government client engagement through structured registration and compliance work.
