Clinical Payments Associate

Overview

This role is an entry-level opportunity to begin working in clinical research operations within a global, fast-moving environment. The position is based in Germany and supports payment activities that help ensure research sites, sponsors, and internal teams receive accurate and timely financial processing. It is well suited to someone who is detail-focused, organized, and interested in developing a career in healthcare operations and clinical trial finance.

You will work with administrative processes, handle payment-related communication, keep records up to date, and help keep workflows running smoothly. In some cases, you may also assist with system transition work and study reconciliation tasks, which can provide exposure to larger operational initiatives.

Accountabilities

• Review incoming emails and tickets, route them appropriately, and assign them to the right team members in tools such as Jira.
• Handle routine questions from clinical sites, sponsors, and internal colleagues about payment progress, remittance details, and access to systems.
• Draft and send payment confirmations and remittance documents promptly and with accuracy.
• Keep trackers, logs, and other records current so that payment-related work is documented correctly.
• Provide administrative support to the Clinical Payments team and help maintain a well-organized workflow.
• Contribute to migration and reconciliation efforts by preparing data, managing checklists, and supporting structured task execution.
• Follow up on open items, pending actions, and ongoing communications during migration or reconciliation activities.
• Flag discrepancies, risks, and unresolved matters to senior colleagues for assessment and resolution.

Requirements

• Strong command of spoken and written English.
• Excellent attention to detail and solid organizational skills.
• Ability to juggle several tasks, set priorities, and work to deadlines.
• Comfort with Microsoft Office applications, especially Excel, Outlook, and Word.
• Exposure to ticketing platforms such as Jira is helpful.
• A collaborative attitude with a proactive and solution-focused mindset.
• Bachelor’s degree in Life Sciences, Business, Finance, or a similar discipline.
• No previous industry background is necessary; internships or administrative experience are considered beneficial.
• Genuine interest in clinical research, healthcare operations, or financial workflows.
