About the Role
This position is for someone who can keep a busy shared space running smoothly while also imagining and creating the kinds of experiences that make people want to return. You will oversee a 15,000-square-foot environment, guide the front desk operation, and build familiarity with the members, guests, and partners who use the space.
The ideal person is a host, operator, problem-solver, and proactive builder all in one. When something is broken, unclear, or inefficient, you take the initiative to investigate, test, research, and resolve it. Just as importantly, you notice opportunities to bring people together and create programming that strengthens community.
What You Will Do
Your work will center on community-building, space operations, technical support, and executive assistance.
- Create community programming that attracts healthcare entrepreneurs and innovators, such as founder meetups, physician-entrepreneur gatherings, peer groups, and topical salons.
- Convert the energy in the MATTER community into meaningful relationships, momentum, and repeat engagement.
- Work with the marketing, ventures, and partnerships teams to transform ideas into well-attended events and experiences.
- Shape the full visitor experience, not just the greeting at the front door and the farewell at the end.
- Oversee the daily operation of the 15,000-square-foot space.
- Maintain a visible, approachable presence for members, partners, and guests.
- Help people get what they need and keep the environment organized, welcoming, and ready for daily demands.
- Supervise and support the receptionist so that every interaction feels polished, warm, and effective.
- Take ownership of conference room technology, audio-visual equipment, printers, WiFi, and keycards.
- Resolve issues as they arise, know when to escalate to IT, and look for recurring patterns that can be improved.
- Document important fixes and process improvements.
- Assist the CEO with scheduling, coordination, and occasional ad hoc support.
Experience and Requirements
The role suits someone who enjoys bringing people together and making things happen. You should be comfortable working across teams, be naturally service-oriented, and be confident handling both community engagement and operational details. The organization is looking for someone with 1 to 3+ years of relevant experience who is based in Chicago and willing to work in the space; this role is not remote.
Helpful background includes experience running an office, managing a shared space, coordinating a community, or doing similar work. Comfort with technology, strong reliability, attention to detail, and a practical approach to troubleshooting are also important. Familiarity with healthcare innovation is beneficial, as is the ability to read the room and design programming that resonates with this audience.

Compensation
The annual salary for this position is $50,000 to $60,000, depending on experience.
