Role Overview
Coral Casino Beach & Cabana Club is seeking an Events & Communications Coordinator to support the Director of Programming & Communications in delivering polished experiences for members and guests. This role combines event planning, communication coordination, marketing support, and on-the-ground hospitality service. The right person will be highly organized, detail-oriented, creative, and service-minded, with the ability to juggle multiple priorities while maintaining a professional, member-first approach.
The position is paid at $26.00 to $32.00 per hour based on experience and also includes commission opportunities tied to private event sales.
What You Will Be Doing
- Draft and format professional materials such as marketing emails, newsletters, event notices, contracts, banquet event orders, run-of-show schedules, menus, signage, reports, and other event documents.
- Coordinate member-facing communications and event marketing across weekly and monthly email sends, event announcements, booking tools, and departmental calendars, while keeping messaging aligned with Club standards.
- Support the planning and delivery of in-house and programming events, including budgeting, vendor sourcing, ordering, design coordination, marketing, booking, resume creation, and checklist management.
- Help shape event concepts by preparing presentation materials, arranging rentals and décor elements, and supporting the creative vision for Club events.
- Act as a key point of contact between the Director of Programming & Communications, clients, vendors, and operating departments by managing contracts, payments, planning sessions, event timelines, and event-day logistics.
- Keep event systems current by creating and updating bookings, maintaining function diaries, preparing banquet event orders, and verifying that event information stays accurate.
- Promote and administer events through Club platforms such as Pacesetter, 7Rooms, Outlook, and Tripleseat.
- Welcome and assist members, guests, vendors, and coworkers in a warm, attentive, and service-focused manner, while responding quickly and professionally to calls, emails, and inquiries.
- Provide leadership and operational support during events, including staff briefings, setup and teardown, vendor coordination, and execution of holiday and signature events.
- Help manage banquet and event equipment inventory and ensure events are properly stocked and prepared to meet service expectations.
- Keep event sales menus and related documents current.
- Relay member needs and feedback to management in a timely manner.
- Coordinate the collection, organization, and distribution of event photography and related post-event communications.
- Attend department and Club meetings and prepare reports, presentations, and event records as needed.
- Follow Club policies, procedures, and service standards while maintaining a consistently high level of professionalism, hospitality, and attention to detail.
- Remain helpful, courteous, and engaged with guests, managers, and team members at all times.
- Contribute as a team leader by helping improve operations and encouraging others to do the same.
- Handle other duties as assigned.
Requirements
- At least 1 year of experience in event coordination.
- A diploma, college degree, bachelor’s degree, or an equivalent mix of education and relevant work experience.
- Working knowledge of food and beverage operations.
- Ability to stand and walk for extended periods, including shifts of at least 8 hours.
- Physical capability to climb stairs and perform tasks that involve balancing, bending, stooping, kneeling, crawling, crouching, stretching, twisting, reaching, pushing, pulling, carrying, and lifting at least 25 pounds, including moving furniture.
- Comfort with repetitive physical movements.
- Potential exposure to loud environments.
- Strong professional presence and exceptional attention to detail.
- Clear verbal communication, solid organization, and reliable follow-through.
- Basic familiarity with event booking systems.
- Strong problem-solving and reasoning ability, including practical judgment to respond well to guest needs.
- Ability to resolve guest complaints and disputes effectively.
- Dependable, honest, and aligned with Club service expectations.
- Comfortable working in fast-paced, high-pressure settings.
- Ability to interpret and enforce Club policies and procedures.
- Availability for nights, weekends, and holidays.
