Sinclair is looking for a seasoned Executive Assistant to support the Global Commercial Finance leader and the Chief People Officer. This is a high-trust, senior support role for someone who can stay highly organized, think ahead, and keep business-critical priorities moving in a fast-paced international setting.

The position involves close coordination with two demanding functions, where the ability to anticipate needs, solve problems proactively, and maintain momentum is essential. Strong communication, sound business judgment, and comfort handling multiple priorities across global teams are central to success in this role.

Key responsibilities

  • Provide day-to-day executive support to the Global Commercial Finance and Chief People Officer, including meetings, travel, and priority management.
  • Serve as a reliable coordination partner by joining meetings, documenting decisions, and ensuring follow-up actions are completed.
  • Develop briefing packs, presentation materials, talking points, and pre-read documents for leadership and executive meetings.
  • Support communication flow between leadership and internal teams.
  • Carry out research, analysis, and business planning support as needed.
  • Manage sensitive and confidential matters with a high level of discretion.
  • Act as a dependable problem-solver and support partner for executive leadership.
  • Maintain and prioritize complex calendars across multiple time zones.
  • Review inboxes, draft responses, and escalate time-sensitive matters appropriately.
  • Coordinate all aspects of domestic and international travel, including logistics for key meetings and leadership events.
  • Plan agendas for executive sessions, leadership offsites, and cross-functional reviews.
  • Track action items, follow up with stakeholders, and help ensure deadlines are met.
  • Work across Finance, HR, and broader leadership teams to keep initiatives progressing.
  • Monitor company goals, KPIs, and operational priorities.
  • Identify ways to improve internal processes and boost efficiency.

Candidate profile

  • At least 8 years of experience in Executive Assistant, Senior Executive Support, or Business Operations roles supporting C-level or SVP-level leaders.
  • Experience in a fast-paced, high-pressure environment, ideally within finance, aesthetics, or a similar demanding industry.
  • Strong organizational ability with the capacity to balance multiple competing priorities for senior stakeholders.
  • Good commercial awareness and confidence contributing to strategic discussions.
  • High discretion and mature judgment when dealing with confidential information.
  • Excellent written and verbal communication skills, including drafting executive-level correspondence.
  • Strong emotional intelligence, low ego, and effective stakeholder management.
  • Experience supporting teams distributed across regions or time zones.
  • Comfort using executive support tools such as scheduling platforms, productivity software, and travel management systems.
