Role Overview
Norm Ai is looking for an Executive Assistant to provide high-level support to up to four Partners at Norm Law. This position calls for strong organization, sound judgment, and a proactive approach. The role is central to keeping the Partners operating efficiently and has a daily impact across the team.
Key Responsibilities
The Executive Assistant will manage demanding calendars, coordinate communication, support meetings and events, handle travel, and assist with office administration. The role also includes helping executives stay focused by improving workflows and taking care of ad hoc administrative needs.
Calendar Management
- Coordinate and streamline busy calendars for one or more executives.
- Spot scheduling clashes and adjust priorities in advance.
Communication Support
- Act as the point of contact between executives and internal or external stakeholders, ensuring follow-through on requests.
- Sort, prioritize, and manage incoming messages and correspondence.
- Prepare and refine written communications on behalf of executives when needed.
- Build a solid understanding of the company’s priorities and how they influence everyday decisions.
Meetings and Events
- Plan and coordinate meetings, including agendas, supporting materials, and minutes where required.
- Assist with organizing conferences, offsites, and other team events.
Travel Arrangements
- Book executive travel, including airfare, lodging, meals, and ground transport.
- Prepare itineraries and any associated travel documentation.
Administrative Support
- Help keep office operations running smoothly by ordering supplies, managing vendors, and maintaining organized shared spaces.
- Take on additional administrative tasks to support executive effectiveness.
Qualifications
- Bachelor’s degree required.
- At least 5 years of experience as an Executive Assistant or in a similar executive-support role in a fast-moving environment.
- Strong organization and time management abilities, along with a practical, resourceful mindset.
- Excellent written and spoken communication skills.
- Comfort using Google Workspace and the ability to learn new systems quickly.
- Sharp attention to detail and a high level of accuracy.
- Ability to manage confidential and sensitive information discreetly.
- Proactive mindset with a focus on improving inefficient processes.
- Comfort working through ambiguity and shifting priorities.
Preferred Experience
- Background in a high-growth startup environment.
- Experience organizing and running events.
Compensation and Benefits
The expected base salary range for this role is $110,000 to $145,000 per year. Final pay within the range depends on role-related skills, interview performance, experience, and relevant education or training. The posted amount reflects base salary only and does not include equity or benefits.
In addition to salary, the company offers equity compensation and a competitive benefits package. Benefits include a 401(k) plan with employer match, and comprehensive coverage for health, dental, hospital, accident, and vision insurance. Relocation reimbursement is available for candidates who need to move to New York City.
This is a full-time, on-site position based in the NYC office at 7 World Trade, with a five-day in-office schedule.
