About the role
This position is for a proactive and highly organized Executive Assistant who can support senior leadership with a mix of administrative, coordination, and operational tasks. The role calls for someone who can handle multiple priorities smoothly, communicate clearly, and stay effective in a fast-paced setting.
What you will do
- Organize executive calendars, set up meetings and appointments, and manage travel plans.
- Handle leadership emails, correspondence, and follow-ups.
- Maintain distribution lists and contact records.
- Draft agendas, presentations, reports, and other meeting documents.
- Arrange internal and external meetings and ensure smooth communication.
- Prepare and share meeting minutes with clear action points.
- Support transcription and documentation tasks.
- Assist with business operations, coordination across teams, and reporting needs.
- Create dashboards, MIS reports, and presentations using Excel and PowerPoint.
- Support ad-hoc reporting and basic business analysis.
- Work with internal teams such as HR, IT, Finance, and Operations, along with external stakeholders.
- Build effective working relationships to keep communication and execution on track.
- Keep documentation and records well organized in SharePoint or similar tools.
- Maintain data accuracy and version control.
- Support project coordination and basic PMO-related tasks.
- Coordinate events, leadership meetings, and team activities.
- Manage travel bookings, itineraries, and expense tracking.
- Carry out business research and summarize useful insights.
- Assist with procurement and administrative workflows.
- Handle confidential information with a high level of discretion.
What we are looking for
- Prior experience as an Executive Assistant, PMO support professional, or in a similar role.
- Strong command of MS Office tools, especially Excel, PowerPoint, and Word.
- Practical familiarity with SharePoint or other document management systems.
- Very good communication, presentation, and interpersonal abilities.
- Strong planning, organization, and time-management skills.
- Ability to handle several tasks and prioritize work under tight deadlines.
- Strong focus on accuracy and attention to detail.
- Good analytical thinking and problem-solving skills.
- Comfortable managing multiple stakeholders and conflicting priorities.
- Professional maturity, emotional intelligence, and a self-driven approach.
- Exposure to project coordination or PMO work is preferred.
- Experience in a global or cross-functional environment is an added advantage.
- Project management certification is optional.
