Role Overview

As an Executive Assistant, you will support schedule management, meeting coordination, and a broad range of administrative and personal tasks for the executive and the team. This is a full-time remote role open to candidates living in the Mediterranean and CIS regions.

Administrative Support and Team Coordination

  • Handle team and department coordination tasks, accounting for most of the role’s working time.
  • Prepare and organize quarterly demo sessions, including coordinating presentations and Loom videos from all contributors.
  • Support Top Company Objective planning by collecting, structuring, and organizing data for strategy sessions and assisting during meetings.
  • Arrange corporate meetings, team-building activities, and engagement-focused events.
  • Suggest and launch creative activities that strengthen remote communication and team involvement, such as online games and Slack-based interactions.
  • Help organize celebrations and personal occasions, including collecting contributions for colleague gifts and sourcing gifts, flowers, and festive items.
  • Coordinate executive and team travel, including trip requests, visa preparation, itinerary planning, and budget tracking.
  • Register team members and the executive for exhibitions and industry events.
  • Research economical travel options and book flights, accommodation, and related arrangements.
  • Plan meetings before exhibitions and events by using scheduling tools, sending invitations, and coordinating with internal stakeholders and external contacts.
  • Draft and send follow-up emails after meetings, ensuring accurate and professional communication based on discussions.
  • Support internal communication workflows by working in Asana, updating the knowledge base in Confluence, and helping manage Slack channels.
  • Assist with presentation creation and formatting, including gathering inputs, structuring content, designing slides to match company style, and preparing materials for meetings, reports, and strategic sessions.
  • Organize meetings on request, including selecting suitable time slots, coordinating participants, and ensuring logistics and materials are in place.
  • Set up video conferences and handle the technical arrangements for online meetings.

Personal Support for the Executive

  • Manage personal appointments such as restaurant bookings, doctor visits, and veterinarian consultations.
  • Plan and book personal and business travel, including tickets, hotels, car rentals, excursions, and itineraries.
  • Handle flight check-ins and resolve travel-related issues when needed.
  • Prepare visas and other travel documents, including business trip requests for the executive.
  • Assist with travel documentation for the executive’s pet.
  • Purchase personal items such as electronics, phones, and household products.
  • Arrange sports bookings like tennis and padel courts.
  • Organize leisure and cultural activities such as event tickets, museum visits, and excursions.
  • Coordinate external service providers, including movers, cleaning vendors, and repair services.
  • Support household logistics and other personal errands requested by the executive.

Requirements

  • At least 3 years of experience in executive support, operations coordination, or a similar position.
  • Strong planning, organization, and analytical abilities.
  • Prior experience working with senior leaders and cross-functional teams.
  • Advanced Microsoft Office capability, especially in Excel for data handling, trackers, and dashboards, and PowerPoint for executive-level presentations.
  • Familiarity with task management platforms such as Asana, Notion, Monday, or similar tools.
  • Comfortable handling data, dashboards, and reporting tasks.
  • Advanced English proficiency; additional languages are considered an advantage.
