Role overview

Sanofi is hiring an Executive Assistant to support the Head of Digital R&D Data AI Products and Platforms in Toronto, Ontario. This role sits within the Digital R&D, Data & AI Products and Platforms department and plays an important part in keeping executive operations organized, communications flowing smoothly, and team coordination running efficiently.

The team is focused on building and delivering data and AI solutions for R&D use cases, helping expand data access across R&D and enabling AI/ML, advanced analytics, and operational analytics at scale. The broader organization is driving a major digital transformation to accelerate research, manufacturing, and commercial performance so that better medicines and vaccines can reach patients faster.

What you will handle

  • Run complex calendars and coordinate meetings across several time zones with internal and external partners.
  • Arrange domestic and international travel, including conference, workshop, and site-visit logistics.
  • Process and reconcile invoices and expense claims accurately and on time, and support procurement needs when required.
  • Keep digital records and shared files well organized, accessible, and secure.
  • Manage sensitive documentation carefully and maintain strict confidentiality.
  • Prepare meeting packs, capture minutes, and track follow-up actions.
  • Support the department through event planning, workshops, off-sites, leadership meetings, and related logistics.
  • Maintain mailing lists, org charts, and shared team resources.
  • Assist with onboarding activities for new hires when needed.
  • Track action items arising from leadership and team discussions.
  • Draft, edit, and send internal messages on behalf of leadership.
  • Route information efficiently and respond to inquiries in a timely manner.
  • Coordinate presentations, reports, and briefing materials for internal and external communication needs.
  • Help prepare and consolidate content for governance meetings, leadership reviews, and cross-functional initiatives.
  • Work with other Executive Assistants across the organization to stay aligned and share effective practices.

What the role asks for

  • Previous experience in an Administrative Assistant, Executive Assistant, or comparable support role.
  • At least 3 years of experience in administrative support, ideally assisting senior leaders in pharmaceutical, biotech, or healthcare settings.
  • A Bachelor’s degree is preferred.
  • Strong planning skills with the ability to juggle multiple priorities and meet deadlines.
  • Clear written and verbal communication abilities.
  • Advanced knowledge of Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint, plus Zoom.
  • Hands-on experience with travel booking and expense platforms such as Concur.
  • A high level of professionalism, discretion, and confidentiality.
  • Comfort working independently and collaboratively.
  • Prior exposure to supporting senior executives is an advantage.
