Role overview
An international law firm is hiring an Executive Assistant to partner with a C-suite leader and the wider team. The role combines high-level executive support with broader departmental coordination and project assistance.
Work arrangement and schedule
This position follows a hybrid setup with four days in the office and one day working remotely. The working hours are 9:30 AM to 5:30 PM.
Compensation
The base pay is listed at $90,000 to $120,000 annually, with overtime eligibility and bonus potential.
Key responsibilities
- Deliver administrative and operational assistance to senior leaders and the larger department.
- Keep complex executive calendars organized, stay ahead of needs, and help daily operations run smoothly.
- Handle new-hire onboarding, including workspace preparation, supplies, and system access.
- Arrange meetings, events, and team activities, including coordination of logistics and preparation of materials.
- Manage confidential and sensitive information carefully while maintaining a high level of accuracy and professionalism.
- Create detailed expense reports, compile meeting materials, and maintain administrative records.
- Support special projects and department initiatives from planning through timely completion.
- Monitor action items, deliverables, and commitments to keep work aligned with leadership priorities.
- Assist with internal events such as town halls, team gatherings, and leadership sessions.
- Provide backup support to other leadership team members and contribute to additional project work as needed.
Candidate profile
- A bachelor’s degree is preferred, or you should have equivalent experience in executive-level administrative support.
- Bring 5 to 8 years of experience in administrative roles within corporate or professional services settings.
- Be trusted to handle confidential and sensitive information with sound judgment and discretion.
- Have strong writing, speaking, proofreading, and correspondence skills.
- Be highly organized and able to juggle multiple priorities and deadlines effectively.
- Work well without close supervision and take initiative to solve problems proactively.
- Have experience supporting complex administrative workflows and operational tasks.
- Be comfortable in a fast-moving environment and bring a strong service-oriented approach.
Additional information
Experience in a law firm or other professional services environment is preferred.
The role supports both the C-suite and the broader team, including project-related work.
