Job description

Role Overview

This position supports senior leaders with both administrative and operational coordination. The ideal person will be highly organized, handle sensitive information carefully, and keep multiple priorities moving in a busy, fast-changing environment.

Key Responsibilities

  • Plan and manage calendars, meetings, and daily schedules so leadership time is used efficiently.
  • Arrange travel, including bookings, itineraries, and related logistics.
  • Serve as a liaison between the executive and internal as well as external contacts.
  • Handle emails, phone calls, and other correspondence on behalf of the executive.
  • Track follow-ups, action items, meetings, and pending tasks to ensure timely closure.
  • Draft reports, presentations, and meeting notes as needed.
  • Organize and maintain files, records, and documents in a structured manner.
  • Manage expense tracking, reimbursements, and basic MIS reporting.
  • Coordinate meetings by preparing agendas and documenting minutes of meeting (MOM).
  • Support the planning of internal events, leadership meetings, and offsites.
  • Protect confidential information and maintain a professional approach at all times.
  • Monitor key projects and deadlines, and help drive daily operational follow-through.
  • Assist with ad hoc work and occasional personal tasks when required.

Requirements

  • A bachelor’s degree in any stream is required.
  • At least 1 to 3 years of experience in an Executive Assistant or Personal Assistant role.
  • Strong verbal and written communication skills.
  • Good interpersonal skills and the ability to work well with stakeholders at different levels.
  • Excellent planning, organization, and time-management capabilities.
  • Comfortable using MS Office tools such as Excel, PowerPoint, Word, and email.
  • Ability to manage multiple tasks in a demanding, fast-moving setting.
  • Experience supporting founders or senior leadership is preferred.
  • Strong ownership, quick responsiveness, and close attention to detail are desirable.
  • Problem-solving ability and composure under pressure are preferred traits.
