Role Overview
PlaneSmart! Aviation is a fast-growing private aviation business operating under Part 91/135 flight operations. The environment is high-tempo, standards are strict, and the team values initiative, problem-solving, and continuous improvement. The company is seeking an Executive Assistant to partner closely with the Chief Executive and help keep priorities organized, communication streamlined, and day-to-day operations on track.
This position is well-suited for a recent graduate or a senior student who wants hands-on exposure to multiple parts of the business, including operations, accounting, sales, marketing, maintenance, human resources, and more.
What You'll Do
- Manage the CEO’s day-to-day schedule, including calendar coordination, meeting setup, reminders, briefing materials, and follow-up tasks.
- Act as a liaison between departments such as charter sales, flight operations, maintenance, accounting, HR/recruiting, and customer experience to help keep work moving forward.
- Bring structure to complex or changing information by tracking action items and making sure responsibilities are followed through.
- Support productive meetings by preparing agendas, recording notes, assigning next steps, and ensuring updates are completed.
- Assist with executive communications by drafting emails, preparing internal announcements, and helping keep teams aligned.
- Provide occasional hospitality and client support, such as assisting with VIP/client coordination, greeting guests, handling logistics, supporting light events, and delivering a polished client experience.
- Identify workflow bottlenecks and help improve processes through tools such as templates, checklists, and simple standard operating procedures.
What the Company Is Looking For
- A four-year bachelor’s degree in Business, Management, Marketing, Communications, Aviation Business, or a related field.
- Experience or academic focus in aviation is helpful, but not mandatory.
- Strong organizational ability and a sharp eye for detail.
- A polished, professional communication style that is friendly, confident, and clear.
- The ability to manage several priorities at once and adapt quickly when things change.
- Strong judgment, confidentiality, and discretion.
- Comfort using Microsoft Office, Adobe Acrobat Pro, and cloud-based data storage or information systems.
- Willingness to learn aviation terminology, how different departments work together, and how decisions are executed.
