Role overview

This opportunity is for a seasoned Executive Assistant to support senior leadership in a global organization from a remote setup. The position requires availability during Mountain Standard Time hours when needed and is designed for someone who can work independently, think ahead, and keep executive operations running smoothly in a fast-moving environment.

The assignment is a 3 to 6 month temp-to-perm engagement, with the possibility of conversion depending on performance. Compensation is $45 to $47 per hour, along with medical, dental, and vision benefits. The schedule is full-time, Monday through Friday.

The business operates as a global leader in anatomic pathology solutions, contributing to cancer diagnostics and better patient outcomes through instruments, reagents, and digital pathology tools. The work environment is highly collaborative, mission-driven, and spread across multiple regions and time zones.

What the role involves

You will act as a trusted support partner to the President and/or VP of Human Resources, helping optimize their time, remove scheduling friction, and keep priorities on track. The position requires strong executive presence, excellent judgment, and the ability to handle highly sensitive information with discretion.

  • Manage demanding executive calendars with precision, resolving conflicts and aligning meetings across several time zones.
  • Arrange complex domestic and international travel, including flights, hotels, ground transport, itineraries, travel documents, and urgent changes.
  • Take initiative to anticipate executive needs and solve problems before they escalate.
  • Support frequent travelers by adjusting schedules, coordinating travel, and handling expense tasks before, during, and after trips.
  • Track and reconcile executive expenses, receipts, reimbursements, and reports using tools such as Concur, Coupa, Mobile Expense, or similar systems.
  • Create presentations, reports, meeting packets, executive communications, and confidential documents with a high level of accuracy.
  • Plan and support executive meetings, including agendas, logistics, materials, action items, and follow-ups.
  • Serve as a communication bridge between executive leadership and internal or external stakeholders.
  • Coordinate across domestic and international teams while keeping global time differences in mind.
  • Work closely with other Executive Assistants across Leica Biosystems and other Danaher operating companies on schedules, travel, leadership meetings, and cross-functional efforts.
  • Provide flexible support during travel, including occasional availability outside standard hours when urgent changes arise.
  • Handle confidential and sensitive matters with professionalism and sound judgment.
  • Assist with leadership events, site visits, special projects, and related logistics.
  • Track deadlines, commitments, and follow-up items to ensure timely completion.
  • Operate as a dependable business partner with a team-first approach, humility, accountability, and strong ownership.
  • Adapt quickly as priorities shift and maintain effectiveness in a high-pressure environment.

Experience and qualification requirements

This role calls for 3 to 10 years of mid-level Executive Assistant experience supporting a President, VP, C-suite leader, or senior leadership team in a large global organization. Prior support for a VP of Human Resources and/or a President in a fast-paced executive setting is required.

  • Background in a highly dynamic environment where schedules and travel plans change often.
  • Proven strength in calendar management with strong accuracy and attention to detail.
  • Experience supporting executives who travel frequently within the United States and internationally.
  • Ability to recognize conflicts early and make sensible adjustments without constant direction.
  • Strong judgment, practical problem-solving, and confidence in making independent decisions after onboarding.
  • Comfort taking action and ownership instead of waiting for instructions.
  • Capability to resolve issues before they become disruptions.
  • Willingness to travel occasionally, including 1 to 2 domestic trips per year and 1 to 2 international trips per year.
  • Experience coordinating travel logistics such as flights, hotels, transportation, itineraries, and last-minute changes.
  • Solid understanding of scheduling across global time zones.
  • Flexibility to support urgent travel-related needs after hours or on weekends when necessary.
  • Hands-on experience with expense systems like Concur, Coupa, Mobile Expense, or comparable tools.
  • Ability to manage receipts, reimbursements, and travel-related expenses for executives.
  • Prior remote work experience and a professional home-office setup.
  • Availability to work MST hours as business requirements dictate.
  • Experience supporting leaders within a multinational organization with international teams and stakeholders.
  • Strong discretion in handling confidential information.
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to juggle several priorities at once while preserving accuracy.

Preferred background

  • Living in or near the Chicago / Deer Park, Illinois area, ZIP code 60010, is considered a plus because of proximity to the main office.
  • Experience supporting a President, CEO, or VP of Human Resources is valued.
  • Prior work in manufacturing, medical devices, healthcare, diagnostics, or another large global corporate setting is beneficial.
