Position Overview
Bicara Therapeutics is looking for an Executive Assistant to deliver high-level administrative and strategic support to the Chief Commercial Officer and Chief People Officer. Reporting to the Chief Commercial Officer, this role suits someone who has thrived in a fast-moving growth environment and can manage a broad mix of executive support and coordination responsibilities. The right candidate will be confident building trust with stakeholders, making sound decisions, collaborating across functions, and working independently when needed. Strong organization, attention to detail, initiative, and a solutions-focused mindset are essential. You should be comfortable balancing shifting priorities, operating with limited clarity at times, and communicating effectively in a highly dynamic setting.
This position is based in Boston, MA and follows a hybrid arrangement with three in-office days each week.
Responsibilities
- Oversee calendar management, meeting coordination, and scheduling for the Chief Commercial Officer and Chief People Officer, resolving conflicts ahead of time and prioritizing requests to protect executive time.
- Work closely with the Commercial Leadership Team to remain aligned with business priorities, monitor decisions and action items, support stakeholder follow-up, and help move critical initiatives forward.
- Arrange domestic and international travel, including research, booking, and receipt handling for reimbursements.
- Contribute as part of the administrative team by attending team meetings, proposing agenda items, participating in discussions, and coordinating backup coverage with peers.
- Make judgment-based decisions that optimize executive calendars, anticipate needs, and ensure enough time for preparation before and after meetings.
- Support onboarding for new hires and team growth efforts, including both Boston-based staff and remote/field employees.
- Handle sensitive matters with discretion and serve as a dependable advisor across all employee levels, maintaining confidentiality and professionalism.
- Plan and manage end-to-end logistics for onsite and offsite meetings.
- Coordinate the completion, tracking, and electronic storage of confidentiality agreements so external compliance requirements are met for stakeholders and attendees.
- Assist with special projects, research tasks, and record maintenance as needed.
Requirements
- At least 5 years of administrative support experience serving executives, ideally at the C-suite level; background in Commercial and/or HR is preferred.
- Ability to carry out administrative responsibilities independently with strong speed and accuracy.
- Excellent organizational ability, strong attention to detail, and a proven capacity to get things done.
- Comfort handling confidential and sensitive information with maturity and discretion.
- Experience working across multiple teams and roles in a demanding, fast-paced environment while staying adaptable, proactive, resourceful, and efficient.
- Strong interpersonal skills with the ability to build relationships, along with excellent spoken and written communication.
- Demonstrated work ethic and capability to manage several priorities at once.
- Proficiency with Microsoft Office.
- Willingness to provide limited after-hours availability when necessary.
- Bachelor’s degree preferred.

Compensation
The estimated salary range for this role is $125,000 to $129,000 per year.
