Job description
About Peace of Mind
Peace of Mind, Inc. is a Washington, DC nonprofit with 501(c)(3) status that provides mindfulness-based social-emotional learning (SEL) programming for PreK through grade 8 students in roughly 80 public schools across the Greater Washington, DC region. The organization’s work is centered on evidence-based practice, strong relationships, and a belief in every child’s potential. It is a small mission-driven team that is currently expanding, and this position sits at the center of day-to-day operations.
Role Overview
The Executive Director’s time is best spent on strategy, funder relationships, school partnerships, and leadership. This role is designed to take ownership of the administrative and operational layer—scheduling, logistics, data entry, and event coordination—so the Executive Director can stay focused on higher-level priorities.
This is an active, hands-on position rather than a standard email-and-desk support job. The right person will anticipate needs, move tasks forward without waiting for instructions, and keep many moving parts organized across the organization.
What the Work Looks Like
- Manage the Executive Director’s calendar so key meetings are scheduled and protected.
- Handle logistics for educator trainings, including venue coordination, materials, RSVPs, and setup.
- Maintain accurate partnership information in Salesforce so the pipeline is current ahead of funder conversations.
- Track invoices and follow up until outstanding payments are resolved.
- Prepare confirmation messages for board members, ship orders, order office supplies, and update Asana projects as needed.
Responsibilities may shift from week to week, and no two weeks will look exactly the same.
First 90 Days
Days 1–30: Learn how the organization operates, shadow the Executive Director, understand the calendar and tools, and begin handling scheduling and email triage.
Days 30–60: Take full responsibility for logistics on at least one event, become comfortable using Salesforce and Asana, and begin anticipating needs proactively.
Days 60–90: The Executive Director should feel meaningfully less burdened, with the administrative layer being handled independently and reliably.
What Helps You Succeed
- You feel motivated by making systems run smoothly and efficiently.
- You are naturally detail-oriented and follow through without being reminded.
- You can manage several priorities at once without losing track of them.
- You are comfortable working independently in a small organization where processes are still being developed.
- You view strong administrative work as an important part of organizational leadership.
Challenges of the Role
This is a growing nonprofit with limited resources and ambitious goals, so the pace is fast and priorities can change quickly. You may be asked to handle tasks that were not originally planned. The Executive Director is supportive, but not always available for step-by-step guidance, so comfort with ambiguity and sound judgment are important.
Interview Process
- Review of application materials, including resume and cover letter
- 30-minute introductory conversation
- Brief skills exercise designed to understand your approach
- Final discussion
Compensation and Logistics
The position pays $21 to $27 per hour, depending on experience. The schedule is 25 hours per week, with flexibility within core business hours. Work must be done in person in the Washington, DC area. The role is classified as a part-time W-2 employee position. Benefits include open PTO, a company laptop, and a monthly cell phone stipend.

Peace of Mind is an equal opportunity employer and is committed to building a team that reflects the communities it serves. Applicants are encouraged to apply even if they do not meet every listed qualification, as the organization values potential, alignment with its mission, and thoughtful problem-solving.
Important Notes
- This position is not remote; in-person presence in the Washington, DC area is required.
