About the Role

Manor Ventures is a small multifamily real estate investment firm based in San Diego. The company is looking for an Executive & Operations Administrator to act as a central operator across the business — supporting the CEO, managing office workflows, assisting the property operations team, coordinating HR tasks, and keeping internal systems and vendor relationships organized. This is a high-trust position with significant visibility, suited to someone who is highly organized and reliable at getting things done.

Both full-time and part-time candidates are being considered. The role follows a hybrid work setup.

Executive Support

  • Provide day-to-day administrative support to the CEO, including calendar management, correspondence, and preparation of documents.
  • Oversee company vehicles, including insurance, registration, title paperwork, and DMV-related tasks.
  • Prepare reports, presentations, and other business documents, while keeping templates current and organized.

Office & Knowledge Management

  • Handle incoming and outgoing mail, and manage office space needs, including coordination of office moves.
  • Support office technology, equipment, and vendor coordination, and update company websites when needed.
  • Maintain internal knowledge repositories such as Confluence and Dropbox, including structure, organization, and access permissions.

Property Operations Support

  • Provide occasional on-site backup when property managers are unavailable and act as the first escalation point for resident concerns.
  • Monitor changes in landlord-tenant law and identify updates that may require lease template changes.
  • Coordinate marketing-related work such as branding updates, website improvements, and print materials.
  • Manage smaller property-level initiatives across the portfolio, including signage orders, branding refreshes, website and listing changes, vendor deliverables, and other one-off tasks.
  • Assist users with RealPage and help with onboarding new buildings into the platform.
  • Administer RealPage on a daily basis, including support tickets, billing reconciliation, and system configuration changes.

People Operations (HR)

  • Welcome and train new employees, while maintaining onboarding checklists and system access.
  • Review payroll runs in Gusto and support benefits administration alongside external providers.
  • Maintain the company calendar for events, anniversaries, holidays, and required training deadlines.
  • Assist with annual compensation review preparation, including market benchmarking, and provide light administrative help to other team members.
  • Handle payroll support tickets with Gusto and respond to employee questions about pay, taxes, and benefits.

Compliance & Document Coordination

  • Collect, organize, and file documentation needed for entity compliance, lender packages, and tax preparation, while working with CPAs, attorneys, and lenders who handle the substantive work.
  • Coordinate with the accounting team by supplying monthly bank statements, credit card statements, supporting records, and other materials needed to close the books.
  • Process reimbursements between accounts after credit card reconciliations by identifying charges that belong to another property or entity and routing them correctly.

Qualifications

Required:

  • At least 3 years of relevant experience.
  • Strong working ability with Claude, Excel, and the wider Microsoft Office suite, including pivot tables, lookups, and formulas.
  • Practical understanding of employment law fundamentals and HR administration.
  • Excellent organization, precision, follow-through, and written and verbal communication skills.
  • Comfort using Confluence, Dropbox, or similar tools for knowledge management.

Preferred:

  • Background supporting real estate or property management accounting processes.
  • Experience with RealPage or comparable property management software.
  • Exposure to Gusto or similar payroll systems.

Additional Information

This position is hybrid in San Diego, California. Full-time employees are eligible for unlimited PTO, medical, dental, and vision insurance, and a 401(k) plan. The full-time pay range for this role is $55,000 to $70,000 per year.
