Role overview

We are seeking a highly organised, practical Facilities & Workplace Coordinator to help keep the Christchurch site running safely and efficiently. This is a hands-on coordination position in a busy environment, supporting a large engineering team by ensuring the workplace remains secure, tidy, compliant, and well maintained.

This is not an engineering role. It is best suited to someone who likes structure, coordination, and making sure a dynamic site runs smoothly every day.

Key responsibilities

  • Coordinate health and safety work, including incident logging, investigations, corrective actions, and compliance paperwork.
  • Keep health and safety records up to date, including registers, training logs, and audit files.
  • Assist with site inspections, audits, risk reviews, and related compliance tasks.
  • Monitor health and safety actions through to closure and ensure follow-up items are completed on time.
  • Organise building maintenance, repairs, and general facilities issues across the Christchurch location.
  • Serve as the main contact for landlords, contractors, and external service providers.
  • Arrange contractor access, inductions, permits, and supervision of on-site work.
  • Help coordinate workplace changes, office relocations, fit-outs, and facilities projects.
  • Manage external vendors such as cleaning, security, fire compliance, waste services, and maintenance teams.
  • Support site security, access control, emergency readiness, and workplace compliance requirements.
  • Make sure facilities services are delivered safely, efficiently, and with minimal disruption to operations.
  • Look for practical ways to improve safety, workplace organisation, and overall site functionality.
  • Provide day-to-day workplace operations support to maintain a safe and productive environment.

What we are looking for

  • Strong coordination, organisation, and administration experience, preferably in a busy operational or office setting.
  • Likely background in a similar role such as Facilities Coordinator, Workplace Coordinator, Office Manager, Operations Administrator, Site Coordinator, or Health & Safety Administrator with an administration focus.
  • Ability to handle several priorities at once, work with contractors and internal teams, and keep actions moving to completion.
  • A proactive, practical approach and comfort working in a setting where priorities can change.
  • Excellent attention to detail, clear communication, and a dependable attitude focused on getting things done.

Who this role is not for

This position is not suited to:

  • Engineers or technical specialists looking for design or research and development work
  • Senior facilities or property managers expecting strategic control, budget ownership, or leadership of capital projects
  • Senior health and safety managers focused on policy creation or organisational strategy
