About the Role
We are seeking a highly organized and compliance-driven HR Assistant for a 3-month contract to cover an internal leave of absence. In this role, you will provide comprehensive remote support, training, and oversight in the areas of employee hiring, onboarding, file compliance, and employee relations for a major healthcare organization. The ideal candidate brings a strong background in tracking employee data, handling background screenings, navigating clinical credentialing, and managing leave administration workflows.
Position Details
- Position Type: Contract / Limited-Term (3-Month assignment to cover a Leave of Absence)
- Location: 100% Remote (Must be available to work standard Eastern Standard Time hours)
- Education Requirement: High School Diploma or GED required
Key Responsibilities & Duties
- Post-Offer & Onboarding Management: Coordinate and manage post-offer processes, including collecting and validating candidate documentation required for hire, licensure, and onboarding. Launch onboarding workflows, track pre-employment paperwork, and ensure a seamless new hire experience.
- Background & Compliance Screening: Complete pre-hire background checks, employment verifications, reference checks, and professional license verifications accurately within established timelines and regulatory standards.
- Credentialing & Licensure Tracking: Gather, maintain, and audit documents required for clinical staff credentialing. Facilitate data collection and tracking for state licensure and certifications to ensure files are current and audit-ready.
- HR System Data Entry: Provide data entry and system administration support within ADP Enterprise, ensuring employee records across the division are accurate and completely up to date.
- Training & Orientation Delivery: Conduct new hire orientation and deliver training sessions. Support operational leaders with tracking post-hire compliance requirements (training completion, licensure renewals, and performance evaluations).
- Performance Management Support: Train supervisors on employee evaluation processes, ensuring adherence to corporate timelines and consistency in performance management practices.
- Leave of Absence Administration: Educate employees and supervisors on the leave process, ensuring compliance with company protocols and applicable laws. Deliver information on how and where to initiate leaves through Sedgwick.
Mandatory Experience
- 2–5+ years of dedicated Human Resources experience.
- Direct experience coordinating recruitment, post-offer logistics, and onboarding processes.
- Proven experience conducting background checks, employment verifications, and reference checks.
- Hands-on experience maintaining secure personnel records and HR compliance documentation.
- Experience supporting credentialing and licensing requirements, preferably in healthcare or clinical environments.
- Experience administering leave processes (FMLA, ADA, workers' compensation, LOA).
- Prior experience delivering training, new hire orientation, and supervisor coaching.
Technical & Operational Skills
- Proficiency with HRIS platforms (ADP Enterprise experience is a strong plus).
- Exceptional communication skills to support employee relations and performance management.
- Strong analytical and spreadsheet skills to develop tracking mechanisms for compliance-related activities.
- Must have a dedicated home office setup and the absolute ability to work a full-time schedule aligned entirely with EST hours.
