Role Overview
We are looking for a seasoned Human Resources Manager who brings 3 to 5 years of progressive HR experience, especially in talent acquisition, onboarding, and compliance across multiple states. In this position, you will own recruitment from start to finish, run new hire orientation and onboarding, help ensure the organization follows federal, state, and local employment rules in different jurisdictions, and provide everyday HR support to managers and employees.
The right candidate is organized, proactive, and solutions-oriented, with strong communication skills, a keen eye for detail, and the ability to foster positive working relationships while protecting confidentiality and staying compliant with regulations.
Schedule and Work Arrangement
This is a full-time role based on a 36-hour workweek, arranged as a four-day schedule from Monday through Thursday with Fridays off. The position requires being in the office 3 days each week, and the employee must live within commuting distance of Cumberland Foreside, Maine.
Talent Acquisition
- Manage end-to-end hiring for both exempt and non-exempt roles across multiple locations.
- Work closely with hiring managers to shape recruiting plans and define staffing requirements.
- Create and publish job ads on several recruitment channels.
- Find, review, and interview suitable candidates.
- Coordinate interviews with hiring managers and keep candidate communication moving smoothly.
- Check references and support verification of prior employment.
- Prepare and issue job offers.
- Track recruiting performance indicators and suggest ways to improve the process.
- Maintain active talent pipelines for upcoming hiring needs.
Onboarding and New Hire Orientation
- Handle all pre-employment steps, including background screening and required paperwork.
- Lead structured orientation programs for new employees.
- Make sure I-9 forms, E-Verify where needed, and onboarding documents are completed on time.
- Coordinate equipment needs, system access, and other onboarding arrangements.
- Act as the main HR point of contact for new hires during their onboarding period.
- Monitor onboarding completion and recommend process changes that improve the employee experience.
Multi-State HR Compliance
- Keep employment practices aligned with federal, state, and local regulations across several states.
- Stay current on legal changes affecting employment and update policies as needed.
- Support the upkeep of employee handbooks and HR policies.
- Ensure workplace notices and legally required postings remain current.
- Assist with wage and hour compliance, leave administration coordination, and recordkeeping requirements.
- Support audits involving personnel files, I-9 records, and employment practices.
- Collaborate with leadership on compliance initiatives and HR best practices.
Employee Support and HR Operations
- Respond to questions from employees about HR policies and procedures.
- Keep employee records and HRIS data accurate and up to date.
- Help with performance management activities and employee documentation.
- Support employee relations matters with discretion and professionalism.
- Assist with benefits administration and open enrollment when required.
- Prepare HR reports and maintain compliance-related documentation.
- Take part in HR projects and continuous process improvement efforts.
Qualifications
This role calls for a bachelor’s degree in Human Resources, Business Administration, or a related discipline, though that qualification is preferred rather than mandatory. Candidates should have 3 to 5 years of HR experience with meaningful recruiting responsibility, including full-cycle hiring in a multi-state setting. Working knowledge of federal and state employment laws, HR compliance standards, new hire orientation, HRIS platforms, and applicant tracking systems is important. Strong organization, project management, written and verbal communication, discretion, judgment, Microsoft Office proficiency, and comfort with HR technology are also expected.
Preferred Background
SHRM-CP or PHR certification is preferred. Experience in property management, real estate, or multi-site operations would be an advantage. Exposure to supporting remote or geographically distributed teams is also beneficial, as is familiarity with leave administration and wage-and-hour compliance across multiple states.
