About the Opportunity
As GWI expands its programming and external engagement, it is hiring a Manager, Events to act as the central owner of its events ecosystem. This person will oversee and coordinate a large, year-round calendar of more than 75 events each year, ensuring the organization’s events are consistent, well-run, and operationally strong.
The role covers everything from executive participation at major industry events to fully owned GWI experiences. The Manager, Events will define the standards for event execution, build and improve processes and systems, and help make event delivery more efficient and scalable.
This position will also directly lead selected events, serving as the primary project manager and systems owner across the full portfolio. Every event, regardless of size or audience, should be planned carefully and delivered to GWI’s standards.
The role partners with leadership and teams across the organization, including the CEO, Communications and Marketing, Operations, Partnerships and Giving, and Career Advancement. It reports to a Director on the Operations team and supports coordination around donor cultivation, partner engagement, and community-building efforts.
Key Responsibilities
- Lead GWI’s events work by keeping full visibility over the calendar and aligning event execution with organizational goals.
- Manage logistics and operational planning for selected GWI-hosted events.
- Provide project management support and logistical direction for partner-led and co-hosted events.
- Serve as the main daily contact for vendors, venues, and outside partners on assigned events, while keeping schedules, deliverables, and budgets on track.
- Build detailed run-of-show documents, staffing plans, and production timelines, and make sure rehearsals, walk-throughs, and preparation are completed.
- Act as, or appoint, the on-site logistics lead when needed, overseeing venue setup, staffing, VIP coordination, vendor management, photography, and event flow.
- Support Communications and Marketing with content collection and storytelling during selected events.
- Set and standardize GWI’s event logistics practices so planning and execution are consistent and efficient across formats.
- Develop and maintain a comprehensive Events Playbook or Toolkit with timelines, checklists, templates, quality standards, and clear task ownership by event type.
- Own the master events calendar and keep it accurate, visible, and coordinated across teams as the central point of accountability for event logistics.
- Work closely with internal stakeholders to manage logistics, track deadlines, monitor dependencies such as branding, briefing materials, staffing, and post-event communications, and reduce operational burden through better workflows.
- Recommend improvements to event staffing, vendor selection, budgeting, and operating processes, and help support new event formats, pilot ideas, and fundraising efforts.
Requirements
The ideal candidate is a highly organized event professional who is comfortable working hands-on in a fast-moving environment. The role calls for strong discipline in project management, operational precision, and the ability to handle a high volume of complex events.
- 7+ years of progressive experience in event management, production, or special events, preferably in a nonprofit, financial services, asset management, or similar setting.
- Proven ability to manage multiple event formats at the same time, including fundraising and partner-facing events.
- Strong project management capability, including building processes, enforcing timelines, and coordinating across stakeholders.
- Solid knowledge of event logistics, space planning, vendor coordination, and on-site event delivery.
- Prior experience working in New York City; familiarity with local venues and event spaces is preferred.
- Ability to think strategically while also handling detailed execution tasks directly.
- Strong communication and relationship-building skills, with a collaborative and service-oriented style.
- Comfort with identifying issues, suggesting improvements, and resolving problems proactively.
- Experience with CRM platforms, especially Salesforce, as well as budgeting and event tracking tools is preferred.
- Genuine interest in GWI’s mission and commitment to the organization’s work.
Benefits
GWI offers a competitive benefits package. The expected compensation range for this position is $100,000 to $110,000 per year. Final starting pay will depend on factors such as experience, education, training, and certification.
Work Schedule
This role requires three days per week in the office, along with frequent attendance at events. Occasional evening and weekend work is required, and travel outside the New York City area will be needed a few times each year.
