Position Summary
Altea Healthcare is hiring a full-time Operations Assistant to support provider onboarding, coordinate new facility openings, and help maintain operational compliance. The role is based in the United States and follows a Monday through Friday schedule. It calls for strong organization, clear communication, and the ability to work effectively with multiple teams.
What You’ll Do
- Work with the Operations Director to shape and carry out operational goals and plans for facilities in the market.
- Track and evaluate facility performance indicators such as care quality, patient experience, and financial results.
- Help coordinate day-to-day operational tasks and resources so facilities run smoothly and efficiently.
- Support the creation and rollout of policies, procedures, and best practices that align with regulations and industry standards.
- Keep communication flowing between facility teams, vendors, and other stakeholders.
- Identify operational problems and help resolve them quickly and effectively.
- Contribute to staff training initiatives and efforts to improve performance.
- Stay current on relevant industry developments, regulations, and operational best practices.
Facility Launch Support
- Partner with Directors and the Implementation Manager on upcoming launches to help ensure a seamless transition.
- Coordinate signage and standing orders to be sent to facilities ahead of go-live dates.
- Assist with credentialing packets for new locations when needed.
- Arrange catering and lunches for facility launch activities.
Payroll Tracking
- Check daily-rate provider payroll to confirm compliance with clock-in procedures and visit expectations.
- Prepare payroll reports for W2/1099 staff using available information and send them to the DOO for approval before HR submission.
Audits, Records, and Reporting
- Complete monthly audits of the Provider Master list by verifying licenses and certifications against state databases for renewals.
- Perform monthly audits of CCM consents and provider compliance.
- Update the Facility Master list and Provider Master list for Sound ACO twice each month.
- Review and refresh the SNF/LTC census in the Facility Operations Tracker two times per month.
- Carry out audits and reports requested by the VP of Operations, Senior Practice Manager, and Directors.
- Attend monthly state and RMD meetings.
- Record meeting minutes, share them with attendees promptly, and upload them to SharePoint.
- Keep Key Resources documentation current and organized.
General Support Duties
- Assist providers with equipment needs, prescription pads, and other operational requests.
- Route questions and concerns to the correct department or leader.
- Support the VP of Operations and Senior VP of Operations whenever needed.
- Take on other responsibilities as assigned.
Additional Responsibilities
- Track company equipment such as laptops, prescription pads, and badges.
- Help create and maintain SOPs so department processes stay updated and accurately documented.
- Conduct bi-monthly checks of provider licenses and certifications and send renewal reminders when necessary.
- Work with IT to keep company email distribution lists accurate and up to date.
Qualifications
- A high school diploma is required; an associate degree is preferred.
- Working knowledge of Microsoft Office applications and healthcare software such as EMR systems.
- Well-developed organizational abilities.
- Strong verbal and written communication skills, along with solid interpersonal ability.
Compensation
This role offers annual pay in the range of $55,000 to $65,000.
