Role Overview
This position supports the operational backbone of the organization. It covers contract handling, RFP support, compliance tasks, IT assistance, office administration, travel coordination, and conference logistics. The role also works alongside people operations and sales operations, acting as a central support point that helps teams across the country stay productive and connected.
The company is looking for someone who enjoys the day-to-day mechanics of how a business runs, thrives in a hands-on environment, and wants to contribute to the systems that keep the organization effective over the long term.
Key Responsibilities
- Review customer and vendor agreements, and help move contracts through the approval process efficiently.
- Manage state, local, and district compliance requirements with care and accuracy.
- Support onboarding, travel, and IT needs for team members, and complete monthly reconciliation of travel and business expenses.
- Plan and coordinate conferences and events, including vendor coordination, scheduling, on-site support, hotel blocks, dinner bookings, and transportation.
- Work from a local office regularly, up to three days per week, to handle physical operations such as swag inventory, mail collection, and packing and shipping items.
- Be available for limited travel tied to onboarding, professional growth, and company events.
Required Experience and Skills
- At least 2 years of operations experience in a startup setting.
- Strong organizational habits with a focus on consistency and order.
- Excellent attention to detail and the ability to catch errors and interpret fine print.
- Capability to safely lift, move, and manage packages and inventory items weighing 30+ pounds.
- A valid driver’s license and access to a dependable personal vehicle for local business use; mileage and business travel are reimbursed under California Labor Code 2802.
- Clear, concise written communication skills.
- A proactive, hands-on mindset and comfort working in a highly practical role.
- Ability to handle sensitive and confidential information appropriately.
Preferred Qualifications
- Current Notary Public status, or willingness to obtain it, with application and bonding costs covered by the company.
