Role overview
New Horizons is a major provider of mental health and addiction recovery services across the Treasure Coast and nearby regions. Each year, the organization supports thousands of children and adults through crisis inpatient care, a 24-hour helpline, mobile response services, and outpatient programs spread across Indian River, Martin, Okeechobee, and St. Lucie counties. The agency also works with schools, courts, law enforcement, jails, and hospitals to strengthen community wellbeing.
The organization is hiring an Outpatient Supervisor to lead intake and front desk operations. This person will guide day-to-day workflow, supervise staff, and make sure records and documentation comply with agency, regulatory, and legal standards. Because intake is the first touchpoint for clients, this position plays an important role in service quality, reporting accuracy, and compliance.
Key duties
- Lead, coach, and support intake and front desk team members in their daily work.
- Oversee the intake/front desk group to keep work organized, efficient, and accountable.
- Provide supervision and direction to Outpatient Front Desk Leads.
- Run regular team meetings to share updates, reinforce communication, and track responsibilities.
- Arrange or deliver training that helps staff build skills and stay current.
- Handle scheduling, approve time off requests, and ensure coverage is maintained.
- Review performance regularly and apply corrective steps when needed.
- Prepare and generate reports to support operations, compliance, and leadership decisions.
- Make sure intake practices follow HIPAA, security requirements, cyber compliance rules, organizational policies, and all relevant regulations.
- Ensure IT policies and procedures are followed across intake and front desk functions.
- Carry out additional duties as assigned.
Requirements
- Bachelor’s degree in a related discipline.
- At least 2 years of experience in a supervisory or team-lead role.
- Strong working knowledge of Microsoft 365, electronic health record systems, and other data tools.
- Understanding of data used in state or federal reporting platforms such as DCF and EHR systems.
- Ability to pass a Level 2 background screening through DCF and the AHCA Clearinghouse.
- Preferred: prior leadership exposure in QA/QI or outpatient administration.
- Preferred: experience working in a nonprofit or healthcare environment.
