Role overview

Flexihire is looking for an organised and proactive Parts Coordinator to join the parts team at its Rocklea branch. This is a full-time, onsite position within a growing team that receives local support. The role suits someone who can think quickly, make practical decisions, and keep work moving efficiently in a busy hire environment.

About the role

This position supports the procurement, coordination, and administration of parts across Flexihire’s branches. You will help ensure parts requests are handled promptly, suppliers are coordinated effectively, records are kept accurately, and new assets are prepared for branch operations. The role is important to internal service delivery, operational efficiency, and ongoing improvement within the Parts and PDI teams.

Working hours

Usual working hours are Monday to Friday, 7:30am to 4:30pm.

Key responsibilities

  • Handle parts requests quickly and with accuracy.
  • Check asset and engine details before placing orders.
  • Order parts from approved suppliers.
  • Communicate with suppliers about stock availability, pricing, and delivery schedules.
  • Keep branches and internal teams informed about order status.
  • Accurately process and record supplier invoices.
  • Maintain parts registers and associated documentation.
  • Prepare labels, decals, and filing materials for newly acquired assets.
  • Make sure all required paperwork is completed and stored correctly.
  • Support new asset coordination activities.

What the role requires

  • Experience in the hire industry or in parts coordination will be highly regarded.
  • Clear written communication and strong verbal communication skills.
  • Ability to adjust to changing priorities and working conditions.
  • Confidence working both independently and as part of a team while meeting deadlines.
  • Practical experience using IT systems, including the Microsoft suite.
  • Good time management, with the ability to plan ahead and reschedule tasks when priorities change.
  • Ability to generate reports, audit records, and follow procedures carefully.
  • Capacity to carry out light lifting tasks when needed.
