Job description

Role overview

BigTime is hiring a full-time People Operations Coordinator to support its Chicago headquarters while partnering closely with the People team. The position combines HR operations support with responsibility for the day-to-day office environment, making it a strong fit for someone who enjoys working with employees and helping create a smooth, welcoming workplace.

This opportunity is well suited to someone at the early stage of their career who wants to build experience in HR, recruiting, and talent development, while also learning the fundamentals of office operations in a growing SaaS company. The role is hybrid and based in Chicago.

People operations support

  • Help the People team with administrative HR work such as data updates, document handling, and maintaining employee records.
  • Coordinate recruiting activities, including arranging interviews, communicating with candidates, and managing onsite interview details.
  • Support new hire onboarding so each employee has a smooth and positive start.
  • Assist with talent development efforts, including training coordination, attendance tracking, and organizing learning sessions.
  • Keep People Operations processes, internal documentation, and reference materials current.
  • Contribute to special projects alongside the People team when needed.

Office experience and operations

  • Act as the main on-site contact for employees, visitors, and vendors.
  • Welcome and assist visitors, clients, and staff members.
  • Handle office supplies, inventory, incoming mail, and package processing.
  • Set up meeting rooms, coordinate catering, and support office events.
  • Manage office access tools such as badges, entry codes, and keys.
  • Assist with new hire IT setup and workspace preparation.
  • Oversee maintenance of office equipment and help resolve issues when they arise.
  • Maintain a tidy, professional, and inviting office atmosphere.
  • Help with seating plans, space planning, and office layout changes.
  • Support team-building activities and culture initiatives.
  • Take ownership of delivering an organized, efficient, and positive in-office experience.
