Job description

Role Overview

This position is for a polished and proactive Personal Assistant to support senior leaders based in the UK. The role is designed for someone who can handle executive-level coordination in a multinational setting, communicate with confidence, and stay highly organized while managing fast-moving priorities.

The work location is East Bangalore, and the position follows a hybrid setup after probation. During the initial 3 to 6 months, the selected candidate must work from the Bangalore office. After that, the schedule will move to a hybrid arrangement of 3 days in the office and 2 days working from home.

The working hours are 1:00 PM to 10:00 PM in line with the UK shift.

Key Responsibilities

  • Handle demanding executive calendars across different time zones and keep schedules running smoothly.
  • Set up meetings, manage overlaps or conflicts, and organize repeat appointments.
  • Plan travel arrangements within India and overseas, including flights, hotels, rail, cabs, and visa support when needed.
  • Prepare and track expense claims along with reimbursement paperwork.
  • Create professional PowerPoint decks and presentation materials.
  • Carry out market research and basic business analysis as required.
  • Work with stakeholders across regions while protecting sensitive information.
  • Provide day-to-day administrative and operational support to senior leadership.

Requirements

  • Strong written and spoken English communication skills.
  • Clear, confident English speaking ability for interaction with UK-based stakeholders.
  • Readiness to work the UK shift from 1:00 PM to 10:00 PM.
  • Availability to work from the Bangalore office for the first 3 to 6 months.
  • Acceptance of a hybrid model after probation, with 3 days in office and 2 days from home.
  • Professional presence, high confidence, and strong stakeholder-handling skills.
  • Excellent planning, organization, and multitasking capabilities.
  • Ability to work independently with limited supervision.
  • Hands-on experience with Microsoft Outlook, Teams, Zoom, PowerPoint, and calendar tools.
  • Experience of 1 to 2 years supporting executives, senior leadership, or international clients is preferred.
  • Virtual Assistant experience is not required, though candidates with Executive Assistant, Personal Assistant, or leadership support backgrounds are encouraged.
