Role overview
The Personnel Logistics Coordinator oversees the planning and movement of offshore crew members, keeping staffing information accurate and current across operations. Working with Operations and Human Resources, this position helps ensure the right people, with the right qualifications and certifications, are in place to support safe and efficient operations.
Key responsibilities
- Arrange the deployment and return of offshore crews, including travel, transport, and lodging coordination with travel and logistics partners, as well as flight, helicopter, and marine transfer arrangements.
- Confirm that personnel have the necessary medical clearance, training, and certifications before offshore mobilization.
- Manage crew movements and schedule changes so operational coverage stays aligned with availability, qualifications, and regulatory requirements.
- Maintain accurate records of crew rotations, temporary assignments, and movement history in company systems.
- Compile and circulate weekly staffing updates, crew rosters, and rotation plans to operations teams and other stakeholders.
- Administer an on-call or ad hoc workforce to cover extra work, unexpected shortages, and operational changes, following collective agreement rules and union recall procedures.
- Work with Operations to identify staffing gaps, escalate issues when needed, and take part in planning meetings that convert staffing decisions into schedules and communications.
- Support workforce planning for additional work scopes, well-end activities, project needs, and crew transitions by determining manpower requirements and coordinating mobilization plans.
- Collaborate with HR, Operations, HSE, and leadership to align workforce planning with business and operational priorities.
- Assist Human Resources with recruitment, onboarding, personnel updates, and maintenance of accurate employee records.
- Coordinate with rig supervisors and offshore leadership to keep crew and position details up to date.
- Maintain personnel-on-board and tracking records to support safety, compliance, and emergency response readiness.
- Help Finance with month-end reconciliation of platform personnel and provide supporting reports when needed.
- Support client and regulatory compliance by supplying staffing information for audits.
- Prepare staffing reports and metrics for management as required.
- Look for ways to improve staffing and logistics workflows for better efficiency and accuracy.
- Carry out other duties and special projects as assigned.
Working conditions
- This role is mostly office-based while supporting offshore operations, with occasional travel to company sites or offshore installations.
- Work outside normal business hours may be needed to handle crew changes, mobilizations, and operational demands.
- Quick response to urgent staffing and logistics requirements is essential.
Requirements
- Post-secondary education in Business, Logistics, Human Resources, or a related discipline is preferred.
- Prior experience in personnel logistics, crew scheduling, or workforce coordination, ideally in oil and gas or another offshore/remote operations setting.
- Strong organization and time management skills, with the ability to juggle multiple priorities and deadlines.
- Excellent attention to detail and accuracy when handling schedules and personnel data.
- Clear written and spoken communication skills for working with operations, HR, leadership, and outside partners.
- Ability to protect confidential information and manage sensitive personnel matters appropriately.
- Good computer proficiency, especially with MS Office; exposure to staffing or personnel systems such as Dawinci is an advantage.
- Strong problem-solving ability and comfort working under pressure in a fast-paced environment.
- Capability to work independently as well as collaboratively in a team setting.
